Were looking for a proactive Administrative Assistant to provide essential support across administration, projects, and procurement. This role ensures smooth office operations, accurate documentation, and effective communication between teams, contributing to business efficiency and professional standards. Key Responsibilities: Office Administration & Coordination Reception duties: answering phones, greeting visitors, managing sign-ins, inductions, and issuing PPE. Maintain physical and digital records, internal trackers, and noticeboards. Assist with onboarding new employees (IT tickets, system access, welcome packs). Schedule meetings, take minutes, and coordinate staff calendars. Organise travel arrangements and visitor management. Create and distribute the bi-monthly company newsletter. Schedule and track equipment inspections and servicing. Arrange waste collections and liaise with contractors. Project & Documentation Support Compile and manage Operation & Maintenance (O&M) manuals for switchgear and control panels. Gather technical information for project handover packs. Maintain structured project folders and ensure document control compliance. Assist with revision control for drawings and technical records. Procurement & Inventory Support Maintain supplier files including certificates and approved records. Support Kanban stock replenishment and assist with stock takes. Liaise with warehouse and supply chain teams for consumables and office supplies. Key Qualifications: Education & Experience: 12 years experience in an administrative role (engineering/manufacturing preferred). GCSEs in English and Maths; Business Administration qualification desirable. Proficiency in Microsoft 365 (Outlook, Word, Excel, SharePoint, Teams). Experience with ERP/MRP systems is an advantage.
