Clinic Manager / Office Manager
Location: Risca High Street, South Wales
Hours: Part-time, permanent (3 days per week, with a view to increasing to 4 days)
Salary: Competitive, pro-rata, dependent on experience + commission + staff benefits
Probation: 6 months
About Us
We are an award-winning cosmetic clinic based in South Wales, welcoming clients from across the UK. We are ambitious, fast-growing, and planning to expand into a larger location. We're looking for a Clinic Manager to help us stay organised, support the team, and drive the business forward.
This is not a behind-the-desk-only role. As our Clinic Manager, you'll be hands-on with the day-to-day running of the clinic, managing a growing team, supporting the Director, and ensuring our clients receive a fantastic service at every touchpoint.
The Role
You'll be the central link between the Director, therapists, and suppliers, ensuring the clinic runs smoothly and efficiently. The role includes:
Client Care & Front of House
* Handling calls, enquiries, and bookings, while ensuring excellent client service.
* Supporting and encouraging the team to use correct sales techniques.
* Managing client complaints directly with professionalism and empathy.
* Overseeing client accounts and payment plans.
Staff Management & HR
* Leading staff appraisals and performance reviews.
* Coordinating rotas, holidays, sickness cover, and return-to-work processes.
* Supporting recruitment, onboarding, inductions, and training.
* Setting and monitoring staff KPIs and targets.
Compliance & Operations
* Ensuring Health Inspectorate Wales (HIW) protocols, audits, and governance remain up to date.
* Supporting stock rotation, supplier orders, and negotiating costs.
* Overseeing SOPs, health & safety, insurance, and risk assessments.
Business & Finance
* Assisting with basic bookkeeping.
* Tracking KPIs such as client retention, average spend, and ROI on marketing.
* Reporting regularly to the Director on business performance.
Director Support
* Acting as PA to the Director: managing diary, emails, and priorities.
* Attending meetings, taking notes, and following up on actions.
Culture & Team Support
* Fostering a supportive, "all hands on deck" team culture.
* Leading by example — from client service to pitching in with day-to-day tasks when needed.
About You
We are looking for someone who is:
* Highly organised, strategic, and able to work independently.
* Confident in leading and managing staff.
* Experienced in business administration, ideally in a service-led industry.
* Proactive, resilient, and comfortable in a fast-changing small business environment.
Essential Skills:
* Strong administration skills and confident telephone manner.
* Good knowledge of Microsoft Word & Excel (graphs/dashboards desirable).
* Ability to use a CRM system.
* Basic bookkeeping skills (desirable).
* Strategic thinking and problem-solving ability.
