Medical Secretary
Band 4 – £28,392 - £31,157 per annum. 37.5 hours per week. Herrick House, Colchester.
We are looking for a skilled Medical Secretary to support the consultant and clinical team. The successful candidate will be the first point of contact for patients, doctors, and staff throughout the Trust.
Responsibilities
* Provide comprehensive secretarial and administrative support to the consultant and their team.
* Serve as the first point of contact for patients, doctors, staff, and external agencies.
* Manage the consultant's diary, schedule appointments, arrange room bookings, and circulate agendas.
* Prepare clinic letters, discharge summaries, clinician reports, minutes and presentations using audio, shorthand, or copy‑typing skills.
* Process case notes, discharge case‑notes, arrange and follow‑up investigations, and manage referrals and appointments.
* Ensure timely delivery of discharge summaries and other time‑sensitive documents.
* Coordinate urgent situations and maintain excellent telephone and interpersonal communication.
* Maintain confidentiality and secure patient information, complying with GDPR and Trust policy.
* Update electronic patient records accurately and maintain office stock and equipment.
* Provide cover for other consultant teams, handle leave applications, and invoice expenses.
* Support new staff induction, clinical training arrangements, and assist with statistical data collection.
* Co‑operate with Reception Administrators and diagnostic services for appointments and investigations.
* Assist in the organisation of training programmes, conferences and special events.
* Perform general administrative duties, filing, and maintain orderly record‑keeping systems.
* Adhere to health and safety, equal opportunities and professional standards.
Qualifications
* Previous medical secretarial experience in a mental health or NHS setting.
* Clinical systems knowledge and audio‑typing skills.
* Strong communication skills and ability to work unsupervised under pressure.
* Empathy and sensitivity when dealing with patients and relatives, especially those with mental health needs.
* Proficiency with electronic patient record systems.
