An exciting opportunity has arisen for a WTE Band 4 Project Support Officer to support the Head of Digital Programmes and team with the successful delivery of digital projects. The post holder will work with the team in the development of future modules of TrakCare, the Trust's EPR solution and associated projects.
The post holder will use appropriate technologies and equipment to provide an efficient, effective, comprehensive and timely administrative service to the programme team and other senior staff. This includes updating and creating project documentation in line with PRINCE2 methodologies using Smartsheet. Attention to detail is essential to ensure all products are created to a high standard.
The post holder must be confident when communicating with stakeholders, management and staff groups using various methods. They will work closely with all stakeholders to ensure the efficient and effective use of the new system and that any new or improved processes are followed.
One key element of the role is training staff on new technologies; the applicant must quickly understand current working practices and convert them into process maps. It is desirable that the post holder has experience in developing training materials and delivering training to users.
The post holder must be able to prioritise and self-manage their workload across multiple projects.

Job responsibilities
The post-holder will communicate and work effectively with all members of the Programme Team and associated staff, liaising with other departments and internal/external service users to maintain a positive, professional business image.
The post holder will work with external suppliers during procurement and implementation of the project, handling commercially sensitive information with discretion.
They will receive visitors and handle telephone calls and queries in line with Trust policies, passing on complex queries as required. They will provide a high-quality, professional administrative service, remaining calm and organised to meet project deadlines.
The project is a large transformational change programme; the post holder will assist in promoting, developing and implementing standardised processes to ensure service delivery is not compromised.
As first point of contact, the post could be exposed to disgruntled users and must remain calm and professional. They will provide comprehensive administrative support to the Programme Management Team, following operational policies and procedures to ensure timely processing of information (KSF - all dimensions).
Use of appropriate technologies will be necessary to manage the diaries of the Programme Management Team, book appointments, arrange meetings, and track commitments.
The post holder will be responsible for creating and maintaining action logs to ensure actions are completed in a timely manner and will plan and manage work to deliver tasks within the project plan and timescales.
Ensure the promotion of a healthy, safe and secure working environment for the work team.
Person Specification
Qualifications
* Essential: NVQ level 4 or above in Business Administration (or equivalent experience)
* Desirable: ECDL modules 1-7; PRINCE2 Foundation
Experience
* Essential: Experience of undertaking a wide range of administrative and secretarial duties using computerised systems; experience of providing high-level support to senior managers;
* Essential: Experience of taking typing minutes from notes and/or Dictaphone; experience of managing change and working in a project environment; experience in PRINCE2 environment; advanced keyboard skills
* Desirable: Experience of creating training materials and delivering training; creating testing materials and facilitating testing; implementing systems for clinical usage; experience of projects from initiative through to Go Live Support
