Job Overview
We are recruiting for a full‑time (37.5 hours per week over 5 days) role based at Lymington New Forest Hospital, with minimal travel to other bases. The role provides competent administration and secretarial support to Contract Managers managing Trust‑wide contracted services. Duties include arranging meetings, taking minutes, liaising with other departments and external stakeholders, maintaining detailed records, updating contract activity data, data entry, filing, drafting documents and correspondence, acting as first point of contact for the Trust when necessary, managing the contract team’s central inbox, maintaining the approved contractor database and updating the CAFM system.
Responsibilities
* Arrange meetings and take minutes for Contract Managers.
* Coordinate liaison with other departments and external stakeholders.
* Maintain detailed records and update contract activity data.
* Perform data entry, filing and drafting of documents and correspondence.
* Act as first point of contact for the Trust when necessary.
* Action incoming mail and manage the contract team’s central inbox.
* Maintain the approved contractor database and the CAFM system.
Qualifications & Experience
* Minimum of two years’ experience in an office environment.
* Proficient in Microsoft Excel, Outlook and Word.
* Strong written and verbal communication skills.
* Organised, self‑motivated and capable of prioritising work to meet deadlines.
* Desirable: Experience working within a contract environment or NHS.
* GCSE in English and Mathematics grade C or above or equivalent.
Person Specification
* Knowledge of office procedures and diary management.
* Excellent working knowledge of Microsoft Office programmes.
* Excellent communication skills and telephone manner.
* Knowledge of computer systems, hardware or software procedures.
* Team player with ability to work under own supervision.
* Arranging and supporting meetings of varying sizes.
* Advanced keyboard skills with touch typing.
* Ability to work calmly under pressure and meet tight deadlines.
* Ability to input and manipulate data in computer databases.
* Flexible attitude to duties and adaptability to changing patterns.
