Job purpose
A Graduate in the South London Commercial Property Management Department, working alongside Property Managers to support daily operations and ensure efficient management of properties.
Role Dimensions
* Inputting and amending records in the property management database, Qube, following prescribed procedures.
* Ensuring utility and council tax accounts are correctly named and billed.
* Assisting with building Service Charge Budget Booklets and data compilation.
* Managing lease events diary and liaising with SHW departments.
* Obtaining quotations from contractors for property works and processing approvals.
* Processing and arranging payments for invoices from client funds.
Key Responsibilities
* Communicating with clients, tenants, contractors, and site staff on behalf of Property Managers.
* Monitoring Property Managers’ workload in their absence.
* Handling building issue queries from tenants and coordinating resolutions.
* Issuing and monitoring Works/Purchase Orders.
* Verifying and coding invoices for approval.
* Maintaining the Property Management Database (Qube) for quality assurance.
* Assisting with Health & Safety tasks and property inspections.
* Supporting Property Managers with tenant debt management, insurance, and utilities recharging.
Communications & Working Relationships
Internal:
* Property Management departments in South London and other offices.
* Property Management Accounts department, Brighton.
* Facilities Managers, other SHW departments (Building Consultancy, Professional, Agency, Rating).
External:
* Clients, tenants, their staff and consultants.
* Accountants, site staff, insurance brokers, loss adjusters.
Key Performance Indicators
* Building relationships with tenants, clients, and colleagues.
* Developing trust with contractors for urgent issues.
* Enhancing client service levels and maintaining quality standards.
* Prompt work turnaround and accurate electronic records.
Person Specification
Knowledge, Skills, and Experience:
* Confident telephone manner.
* Good IT skills, including Excel for spreadsheets and forecasts.
* Understanding of tenant communication regarding debt and issues, acting per client instructions.
* Team player, able to develop good relationships and seek/help when needed.
