Job Responsibilities
* Assist the line manager in implementing policies, procedures, and systems to:
* Establish and accurately maintain records, filing systems, and computer records.
* Obtain and provide information as required in various formats.
* Maintain security and confidentiality in handling information.
* Ensure all correspondence, letters, emails, and telephone calls are dealt with promptly and appropriately.
* Implement procedures to ensure excellent customer service for both internal and external customers.
* Plan and support meetings effectively and efficiently.
* Research, analyze, and report information as needed.
* Provide support, assistance, information, and coaching to colleagues.
* Support health and safety arrangements to minimize risks.
* Support the Equal Opportunity policy and be sensitive to diverse backgrounds, values, and beliefs.
* Stay updated with role competencies, undertake relevant learning and development activities, and keep abreast of knowledge related to CITB NI’s activities.
Minimum Qualifications and Experience
Option 1: At least 5 GCSEs Grade C or above (including English Language) or equivalent, AND at least 1 year of relevant work experience gained within the last 3 years.
Option 2: At least 2 years of relevant work experience gained within the last 5 years.
*Relevant experience includes customer service (internal and/or external) and general administrative duties such as call handling and document preparation.
Additional Skills and Personal Requirements
* Proficient in using various computer systems including Microsoft Word (mail merge, communication), Excel (workbooks, charts, formulas), and Outlook.
* Effective communicator capable of building strong working relationships.
* Skilled in managing time and prioritizing workload.
Personal Commitments
* Must have access to transportation to meet the requirements of the role.
