Job Description:
The ‘Great Service’ Programme is one of Imperial’s key strategic initiatives; helping to deliver a world-class professional service to support the University’s world-renowned education and research activities. Specifically, the programme will implement a new system (Oracle Fusion) to deliver a range of improvements across HR, Procurement, Finance, and Research Administration. This will include an improved user experience, simplified and consistent processes, and data-informed decision-making.
As Training Coordinator for the Great Service Programme, you will have direct experience of working at Imperial, as you will be required to help administer the development and delivery of a comprehensive programme of training and support required for the implementation of the new system across the University. You will be able to work effectively across multiple teams to coordinate resources both within and outside the University. You will monitor and report on training progress, user outcomes, and system adoption and be able to respond proactively to the need for additional training content and delivery methods as required.
Working with the Senior Training Manager, the ideal candidate will support the planning, coordination, and implementation of training initiatives specifically for a new ERP system to ensure employees at all levels within the organisation receive the necessary skills and knowledge for their roles. Serving as the primary point of contact for training-related inquiries and issues.
Responsibilities:
* Training Program Coordination: Organise, schedule, and track training sessions, workshops, and seminars for all users (~9,000 employees plus ~12,000 contingent workers) of the new system. This will encompass blended learning methods (including but not limited to; in-person workshops, webinars, e-learning modules, hands-on sessions). Ensure specific equality, diversity, and inclusion needs are identified and accommodated.
* Content & Material Management: Assist in the development, maintenance, and distribution of process-led engaging learning content (including but not limited to; presentations, videos, job aids, e-learning courses, practice activities, assessments). Ensure content is up to date and reflects the latest system updates and best practices.
* Training & Vendor Liaison: Coordinate internal stakeholders, third-party vendors, subject matter experts, and trainers to ensure high-quality training content and delivery.
* Learning Tools & Management: Manage online training platforms, track employee training progress, and maintain accurate records of training activities, attendance, and feedback.
* Training Logistics: Ensure training delivery is aligned with programme timelines and business as usual activities. Arrange venues, equipment, and materials needed for training sessions.
* Employee Support: Administer the provision of ongoing support to employees during the transition to new systems, including one-on-one coaching, troubleshooting, and assistance with system-related queries.
* Compliance & Attendance: Maintain training attendance completion records. Prepare reports on training outcomes, system adoption rates, and areas needing additional support.
* Evaluation & Feedback: Collect and analyse feedback from participants to help refine training materials and delivery methods. Develop and administer assessments to monitor the effectiveness of the training program, identifying areas for improvement.
Minimum Requirements:
* Have direct experience of working at Imperial.
* Have a knowledge of different training methods and tools available.
* Have knowledge of best practice training strategies, methods, and tools, including e-learning platforms.
* Be able to gather and analyse data to inform reporting and decision-making.
* Be able to summarise and report data and findings to a range of audiences.
* Bring a wealth of experience designing and delivering impactful training strategies and plans, particularly relating to large-scale system implementations.
* Be able to work effectively across multiple teams to make the best use of resources both within and outside the University.
* Be able to monitor and evaluate the effectiveness of training programmes using a variety of means.
* Demonstrate excellent interpersonal skills and organisation/administration skills with the ability to interact with a diverse range of stakeholders at all levels of the organisation.
* Demonstrate excellent verbal and written communication abilities, able to convey complex technical information to diverse audiences.
* Convey excellent problem-solving skills and ability to work under pressure.
* Be a team player with demonstrable experience in driving forward collaborative efforts across multiple teams.
Having knowledge of Oracle Fusion, Oracle Guided Learning and/or experience of delivering training on Oracle Fusion functionality would also be highly desirable.
