Job Title: legal Assistant
Location: Uxbridge, United Kingdom
Purpose of the Role
To provide an indispensable and proactive business support service to the Legal Team in a fast changing, complex and dynamic environment
Key Responsibilities Supporting the legal team in the maintenance of key legal registers and producing monthly/ quarterly reports as required
Supporting the Group Privacy Officer and Privacy Steering Group team, coordinating and taking minutes of meetings, overseeing the processing of data breach reports, processing registers, updating the annual ICO registrations and maintaining the Privacy Steering Group intranet sites
Supporting the Company Secretarial Manager in the maintenance of corporate registers, assistance with preparing board minutes and board packs, statutory filings through Diligent, KYC (know your client) requests and group reporting.
Assistance with formatting, roll out and coordination of legal based training.
Checking the GPO and legal team in-box for emails and alerting team members as required.
Support the use of legal agreements data base, including uploading documents and advising business on use of the Database.
Proofing, formatting and editing of documents such as contracts, leases and letters.
Administration and support for departmental payment processes, expenses, co-ordination of invoices, renewals of subscriptions and registrations.
Dealing with queries and enquiries from external third parties which are received by the legal team.
Collation of documents and data as required to support legal matters.
Skills & Experience Required Excellent organisational skills
Ability to multitask and prioritise an ever changing, varied workload
Confident judgement, problem solving and decision-making skills
Ability to work equally autonomously or as a part of a team
Ability to build strong working relationships with all levels of internal and external stakeholders
Good working knowledge of full Microsoft Office suite including Word, Excel, Powerpoint
