The post holder will work within the Nottingham University Hospital's Haematology Department at the City campus and take responsibility for managing the day case waiting lists in accordance with the Trust waiting list targets and handling related telephone calls.
The role requires a strong understanding of waiting lists, the ability to prioritise workload amid constantly changing demands, meet agreed deadlines and use initiative to ensure referrals are dealt with promptly.
Responsibilities include ensuring referrals are processed in a timely manner and addressing enquiries from patients and clinicians in person, by email and on the phone.
Job Responsibilities
* Add and remove patients to the NUH waiting list and coordinate/booking admission using Medway PAS and Bookwise.
* Act as the first point of contact for patients with queries regarding admission details and waiting lists, liaising in person, by telephone or email.
* Maintain accurate records to ensure all admissions for elective procedures are completed and documented on Medway PAS in line with the Trust Access Policy.
* Ensure all patient information is recorded and updated in line with Trust procedures.
* Produce admission lists for nurses.
* Provide non‑clinical advice regarding hospital admission to patients when required.
* Liaise with clinical staff to ensure availability of specialist equipment.
* Identify potential breaches against Trust waiting list targets and take appropriate action.
* Work flexibly and provide cross cover for colleagues.
* Undertake any other duties reasonably required.
* Deputise for the Waiting List Coordinator where appropriate.
* Participate in appraisals, training and development activities.
Person Specification
Training & Qualifications
* GCSE Maths and English (Grade 4/C or above)
* Functional Skills Level 2
* ECDL Qualification
Experience
* Experience working in a busy office or administrative environment, managing a varied workload and meeting deadlines.
* Experience using Microsoft Office applications.
* Experience handling confidential information in line with organisational policies.
* Experience in a customer service environment.
* Recent NHS experience.
Communication and Relationship
* Ability to contribute to team working and develop good working relationships.
* Excellent written and verbal communication skills with a professional and courteous manner.
* Ability to demonstrate tact and diplomacy when handling sensitive issues.
