NATIONAL VETERINARY SERVICES LIMITED JOB DESCRIPTION Job Title: Night Shift Supervisor Reports to: Outbound Manager Position Band: C Business unit: NVS Prepared by: Date: Main purpose of the role The Night Shift Supervisor is responsible for overseeing and leading operations on the night shift. This includes both Ground-Floor and First-Floor operations after midnight. Areas of responsibility include, Bulk, WID/WID_L, Fridges, NWL, HAZ/ANA, CDS, Despatch, Automation and manual picking/packing areas and replenishment. There will also be an element of Goods-In due to daily early morning deliveries. Key Responsibilities include, supervising daily activities to ensure smooth and efficient workflow. Driving performance to meet productivity and quality KPI’s. Ensuring full compliance with Standard Operating Procedures and Health and Safety regulations. Effectively utilising the Warehouse Management System to optimise operational efficiency. The ideal candidate will possess a good understanding of warehouse systems (particularly KiSoft and IFS). Key Responsibilities Process improvement & Efficiencies Identify inefficiencies and suggest improvements to increase throughput Ensure good practise is adopted and maintained so as to support the maintenance and improvement of standards, reducing the levels of product returns and customer complaints Maximise staff utilisation Proficient on writing and reviewing work instructions. Ensuring they are kept up to date with changes made Systems & Data Management Maintain a good working knowledge of KiSoft & IFS Identify and use system data to monitor performance, maximise the picking and replenishment processes for all areas, including despatch. This is alongside the other Noon-Shift Supervisors. Support cross-training of Team Leaders and operatives within the Night-Shift department and ensuring development of team members Ensure accurate inventory movements and order tracking through system utilisation Leadership To demonstrate and foster a leadership culture within the Warehouse to ensure the adoption of a ‘can do’ attitude by all reports Lead and train Team Leaders in pursuit of operational targets and Company values. Encourage and motivate staff to reduce turnover and maximise potential Provide encouragement to Team Leaders, including communicating team goals and identifying areas for new/additional training within the management structure. Able and willing to challenge and confront operatives Administration Ensure all admin duties are completed accurately and to specific deadlines Responsible for query resolution relating to order and stock issues for the Night Shift Ensuring investigations & disciplinaries are thoroughly completed and in a timely manner Communication and Collaboration Liaise with other departments (First-Floor, Ground-Floor, Stock Control, Replenishment, Customer Services, Transport, Goods-In) to ensure efficient service and availability is always provided Conduct regular Team huddles with Team Leaders and operatives Act as a point of contact for all Night-Shift operational queries including the noon shift Listen to team members feedback and resolve any issues or conflicts through mediation or informal meetings Health & Safety Always Ensure Health & Safety compliance Promote a safety-first culture and ensure all staff are trained and equipped appropriately Be aware of relevant risk assessments and Fire risk assessments Other Duties Be familiar and aware of Standard Operating Procedures Report to the Outbound Manager any matters that adversely affect the protection of the company’s stocks or premises Assist when required with other functions within the warehouse operation, including supervising other departments as and when requested Perform any other reasonable duties as the role and business dictates Support the Outbound Manager and Assistant Outbound Manager Personal attributes: Qualifications, experience, skills, knowledge and competencies required to fulfil the role Essential Minimum 3 years’ experience working in an operational logistics environment Self-motivated and results focused/driven Attention to detail Able to work under pressure and to tight deadlines Able to work both on their own and in a team PC literate Desirable Excellent communication and relationship building skills Strong Oral and Written Skills Proficient knowledge of Health and Safety Mature, credible individual who can communicate at all levels within the organisation and gaining respect from their staff Proven employee training track record GCSE A – C or NVQ Level 2 or equivalent
