We’re looking for a Service Coordinator to join a busy Aftersales department – a key player in ensuring the seamless coordination of service operations, customer satisfaction, and internal efficiency.
In this dynamic role, you’ll handle everything from scheduling engineering visits to managing parts logistics, supporting technical documentation, and ensuring everything runs like smoothly behind the scenes. You’ll be the go-to person for keeping the engineering teams equipped, informed, and on schedule.
As The Service Coordinator, You Will Be:
* Scheduling and coordinating engineering visits in response to customer enquiries.
* Assigning jobs using internal planning tools to optimise efficiency and minimise travel.
* Booking travel and accommodation for UK and international service visits.
* Managing engineering service documentation and ensure its accurately maintained.
* Processing weekly engineer expenses and assist with overtime claim approvals.
* Handling incoming/outgoing parts orders and stock transfers.
* Monitoring stock levels, following up on and investigate delivery discrepancies.
* Liaising with suppliers for warranty claims, documentation, and parts shipments.
* The liaison between customers, sales, engineers, and suppliers.
* Taking orders, clarifying technical part requirements, and scheduling services.
* Maintain service records, update job files, and log data for contracts and reporting.
* Maintain engineering visit records and utilisation data for management.
* Process customer invoicing based on job completion or contracts.
* Track product serials, contracts, and installations for internal reporting.
What We’re Looking For
* Proven experience in technical administration or a service coordinator/engineer support role.
* Excellent communication and organisation skills.
* A team player with a proactive, can-do attitude.
* High attention to detail and a knack for problem-solving.
* Proficient in Microsoft Office, especially Excel.
* Familiarity with ERP or service management software (desirable).
* Understanding of stock control, contract management, and technical documentation.
