Job Overview
A substantive part time position has arisen within the Clinical Neurophysiology Department, situated within the Brunel Building at Southmead Hospital, for an experienced Band 3 Medical Secretary.
Working as part of this busy clinical team, your main duties will be to provide efficient and high quality administrative and clerical support to the Consultant Clinical Neurophysiologists and Physiologists within this team. This exciting opportunity involves working in close cooperation with these and other staff groups and medical professionals in this bespoke department in order to deliver outstanding diagnostic care. The role includes typing of clinical letters and reports, booking out‑patient clinics and handling telephone calls and enquires, along with other general office duties.
Main Responsibilities
* Responsible for processing clinic letters/test result letters general correspondence, and other tasks required by the department
* Receive, sort and prioritise daily correspondence.
* Monitor waiting lists proactively.
* Contribute to the review of administrative and clerical functions within the department and make recommendations to enhance the service provision for all users of the department.
* Photocopying/filing and other administrative duties to ensure the efficient running of the office.
* Prioritise sometimes conflicting department requirements, independently of, or with consultants and other secretarial support to meet deadlines – i.e. 5 day turnaround for clinics.
* Organise meetings, including the booking of rooms as necessary, for the clinicians and their teams as required.
* Act as a contact point, liaising with patients, medical and nursing staff and other external agencies dealing with queries competently and professionally, taking action when appropriate in accordance with Data Protection.
* To provide secretarial cover and undertake general office duties as necessary within the department.
* To effectively deal with incoming mail for clinicians.
* Such other reasonable duties, appropriate to a Band 3.
Education / Training / Qualifications
* Good general education including GSCE in Maths or English (or equivalent)
* RSA/OCL 2 standard or equivalent
* Computer skills (Microsoft office)
Essential Criteria
* Previous secretarial experience
* Excellent organisational skills and attention to detail
* Excellent telephone and communication skills
* Experience of working under pressure
* Experience of working as part of a team in a multi‑disciplinary environment
Desirable Criteria
* Patient Administration System (PAS) training
* Knowledge of medical terminology
* Working knowledge of Care Flow or similar
* Medical secretarial experience
* Experience of working in the NHS or similar organisation
* Experience of working with Patient Access policy
