Job description:
The Front of House Administrator acts as the first point of contact for visitors, providing a welcoming and professional reception experience. This role delivers essential administrative support to the wider facilities team, coordinating tasks such as booking and managing meeting rooms, managing correspondence and incoming calls, and assisting with purchase order administration.
The outcome is a well-organised and efficient front-of-house operation that seamlessly supports the trading operation and associated business units and support functions.
WHAT YOU'LL DO
Greet and direct visitors upon arrival, in a warm and professional manner in keeping with the company's image. Ensure all guests are introduced to their point of contact promptly.
Maintain accurate visitor logs and follow security procedures, including issuing visitor passes and liaising with building security. Inform guests of any important notices, including health & safety related matters.
Answer and manage incoming phone calls and emails, addressing enquiries or redirecting them to the appropriate department or individual in a timely manner.
Liaise with the postroom, IT, and catering teams to ensure requested services for meeting rooms are arranged and provided as needed.
Assist with queries related to meeting room availability and the use of Condeco for booking rooms, helping users where requested, and flagging any issues to the Facility Manager.
