We are looking for a dynamic individual who thrives in an environment that challenges their admin/accounting skills and creativity.

About the Role:

Reporting to the Controller, the Admin Assistant position supports the accounting and sales teams. You will welcome visitors with a professional and friendly demeanor, assist the accounting department, while creatively assisting with our social media local initiatives.

This position offers a balance of structure and creativity, perfect for someone who wants variety and thrives in a collaborative environment. The hours of work are 8:00 AM to 4:30 PM, with a 30-minute lunch, Monday to Friday.

Key Responsibilities:

* First point of contact for visitors on-site
* Maintain the reception area for professionalism
* Manage incoming phone calls and general email
* Manage all incoming & outgoing physical mail
* Compile daily timesheets & complete labour balancing/distribution reports
* Assist in daily cash receipts and accounts receivable billing
* Control and reconcile petty cash
* Assist in physical and electronic document management
* Monitor and order office and kitchen supplies
* Post internal memos and communication notices
* Coordinate logistics of onsite and offsite meetings
* Assist in creating photos and videos for social media content and promotional materials
* Coordinate the supply and inventory of Hawboldt swag
* Assist in the preparation of trade shows, conferences, special projects, and travel arrangements
* Participate on the Social Committee as Secretary

What You Bring:

* Excellent communication and interpersonal abilities
* Ability to work well in a confidential, fast-paced, time-sensitive environment
* Strong organizational skills, ability to prioritize, effectively manage assignments
* Proven sense of urgency in completing tasks and achieve deadlines
* Proficiency in MS Office, especially Excel
* Previous working experience applying basic accounting practices
* Experience with creating and uploading posts for social media platforms
* Completion of Administrative Professional certificate program an asset
