Job Title: Administration & Workflow Controller
Location: Sussex, Hampshire, Kent, or Isle of Wight – Hybrid (ability to attend team meetings in Falmer)
Contract Type: Full-time
Hours: 37 hours per week
Salary: Up to £35,000 per annum
About the role
We are looking for an Administration & Workflow Controller to join our Water Resources & Production Delivery team. This is a newly created position designed to strengthen administrative, financial, and workflow coordination across both planned and reactive operational activity.
Working in a fast‑paced and collaborative environment, you will play a key role in ensuring smooth project delivery, accurate performance tracking, and clear communication between operational teams, contractors, and stakeholders.
This role would suit someone organised, proactive, and confident using Microsoft Office tools, particularly Excel. Experience in financial administration or project support is highly beneficial.
What you will be responsible for:
1. Maintain and update project documentation, schedules, and compliance records
2. Prepare and distribute progress reports, meeting minutes, and financial summaries
3. Track budgets, invoices, and financial performance across projects
4. Raise and monitor work orders from Operations
5. Support audits and reviews through timely and accurate information
6. Assist Project Managers with planning, scheduling, and milestone tracking
7. Act as a key point of contact for contractors and internal teams
Additional requirements specific to the role
8. Occasional travel to Falmer for team meetings
9. Coordination across multiple operational areas
What you’ll bring to the role:
Essential
10. Strong Microsoft Office skills, with advanced Excel proficiency
11. Excellent organisational and communication skills
12. Ability to manage multiple priorities and deadlines
13. Basic experience in financial administration
14. Previous experience in project administration or coordination
Desirable
15. Experience working within operational, engineering, or utilities environments
Knowledge of financial tracking tools or workflow management systems
