Company Overview Virtual Administration Ltd, established in 2006, is a leading provider of flexible, reliable, and affordable administrative support. Our home-based team of 24 professional Virtual PAs serves over 80 clients, primarily independent healthcare professionals (occupational therapists, case managers, physiotherapists, speech and language therapists, neuropsychologists, and more). We also assist companies with Care Quality Commission (CQC) registration and compliance. Job Description We are seeking a proactive, organised and experienced Business Manager to grow our client sales and lead our remote Virtual PA team in the UK and Canada. This role requires a strategic thinker, ensuring all business activities align with our goals and objectives. This is a fully remote position, with occasional in-person meetings in Newark. Key Responsibilities Take ownership of daily operations and growing the UK business. Exceed monthly targets. Create and manage a detailed marketing and sales strategy. Lead, motivate, and manage a remote team of Virtual PAs, fostering a culture of reliability and professionalism. Recruit, train, and onboard new Virtual PAs; provide ongoing support and shadowing. Supervise and support current team members in the UK and Canada, including performance reviews and professional development. Liaise with clients in the UK and Canada, ensuring exceptional customer service and confidentiality. Negotiate rates and packages with new clients; prepare and send contracts and terms. Oversee the use of Monday.com for logging all client and team activity; ensure accurate task tracking and reporting. Manage a Sales Administrator and Social Media person, ensuring alignment with business objectives. Contribute ideas and execute plans for business growth and process improvement. Attend healthcare events and exhibit at conferences. Ensure compliance with GDPR, CQC, and other relevant regulations. Prepare for and attend Monday morning meetings at 11:00am; present weekly agendas and updates. Attend in-person meetings in Newark as required. Meet KPIs and understand budgets, including using formulas for financial tracking. Must-Have Skills and Experience Proven experience of managing a remote team of at least 20 people. Exceptional communication skills (verbal, written, and digital), with the ability to liaise confidently with clients and colleagues. Strong organisational and time management abilities; able to prioritise, delegate, and meet deadlines in a fast-paced setting. Advanced proficiency in office software (Microsoft Office Suite, especially Excel), cloud-based tools, and project management platforms e.g. Monday.com. Experience with recruitment, onboarding, and training of staff. High level of discretion and confidentiality, especially when handling sensitive client information. Problem-solving and critical thinking skills; able to anticipate issues and provide proactive solutions. Experience managing budgets and understanding financial reports Familiarity with GDPR, CQC, and compliance requirements in the UK healthcare sector (desirable). Willingness to attend occasional in-person meetings in Newark. Additional Desirable Qualities Experience working with niche healthcare clients or regulated industries.
