We’re looking for an enthusiastic Intelligence Coordination Support Officer to be part of our Intelligence Directorate to play an important role in our new intelligence and law enforcement powers.
The Intelligence Coordination Unit is responsible for supporting the Intelligence Unit by coordinating stakeholder engagement, producing non-operational products to update stakeholders, partners and Executive Board and managing our key non-operational products such as our risk register, Memorandum of Understanding register and procurement register. We also facilitate Unit wide group meetings.
A background in Intelligence is not necessary to thrive in this role.
The role of an Intelligence Coordination Unit Support Officer involves:
* Providing comprehensive administrative support to stakeholders across the Intelligence Hub, including diary management of one or more senior staff, if required.
* Gathering and documenting information from various stakeholders, keeping an effective audit trail of essential documents and materials and accurately maintaining non-operational records in accordance with legislation and guidance.
* Organising our inbox and maintaining a log of all incoming commissions, flagging deadlines as appropriate. Foster strong relationships and work collaboratively with colleagues across the Intelligence Hub to achieve positive outcomes.
* Action routine correspondence, preparing acknowledgements and responses as requested Contributing to the improvement of administrative efficiency
* To be responsible for organising own workload ensuring deadlines are observed and duties performed efficiently.
* Arrange, attend, and provide secretariat support to teams and other internal and external meetings and/or networks as required. This will include preparing and producing paperwork, i.e., agendas, action logs, collating and distributing all necessary information and documentation electronically and taking minutes or action notes as required. Ensuring all minutes or action notes are issued in a timely manner and agreed actions are appropriately recorded.
Person specification
We are looking for someone who:
* Has experience of working as part of a team and working to deadlines
* Has problem solving skills and can think outside the box
* Has good writing, drafting, and presentation skills
* Can work alone and as part of a team
* Has great communication skills – in both verbal and written communication.
* Has a working knowledge of Microsoft Office especially Word and Excel
* Has good interpersonal skills and is able to build good working relationships with clients and colleagues
* Pays attention to detail, particularly around data entry to ensure accuracy
* Has the ability to be adaptable and flexible in line with workloads.
To be eligible for this role you also need to meet our Nationality requirements which are outlined below and also successful candidates must meet the security requirements for Security Clearance (SC) before they can be appointed. To gain (SC) you will need to have been a UK resident for a minimum of 3 years out of the last 5 years.
