Job overview

To provide a comprehensive Medical Secretarial and Administration Service to the Department in strict accordance with Data Protection Act and Trust Confidentiality Guidelines, ensuring all work is processed in a timely, efficient way.

Provide a full and comprehensive Medical Secretarial Service, including timely audio typing of clinic letters, discharge summaries, letters, documents/presentations, compilation of letters as required by the consultant(s) and respective team(s). This may involve correction of incorrect grammar and interpretation of different pronunciations and handwritten clinical notes or advance medical terminology.

Main duties of the job

1. To provide a medical secretarial service within the directorate. To undertake accurate audio/copy typing (including digital) of medical correspondence and general administration for the consultants and their teams. This will include highly sensitive and complex medical terminology with a need for confidentially.
2. To work to the agreed standards and templates for the department.
3. In the absence of the Senior Medical Secretary (or as appropriately delegated) to receive and open mail, to action routine/non routine and urgent correspondence and drawing the necessary items to the attention of the person concerned.
4. In the absence of the Senior Medical Secretary to process clinic cancellations in accordance with department policy and timescale.
5. In conjunction with the Senior Medical Secretary ensure that the departmental transcription workload is prioritised and maintained within Trust turnaround times.

Experience

Essential criteria

16. Experience of audio typing
17. Experience of working within busy office environment
18. Ability to work with highly confidential data, and to maintain patient confidentiality

Desirable criteria

Qualifications

20. GCSE Grade C or above/ equivalent in English language
21. Medical Secretarial Course/ Medical Terminology Course, or ability to demonstrate equivalent ability

22. Previous NHS experience

25. Knowledge of Data Protection Act, 1998 and GDPR
26. Ability to cover the duties of other Secretarial staff within the Department
