Dinas Lane Medical Centre are looking to recruit a part-time/full-time receptionist / administrator toprovide a high quality administrative service to patients, doctors, staffcolleagues and other health service professionals.
Toensure a first class customer service is provided to any persons contacting thePractice by phone or face-to-face.
Toensure that enquiries from patients are efficiently and courteously handled tothe mutual satisfaction of the patients and partners.
The post holder/s will beexpected to work as part of a team. Flexibility of working hours is essentialin this role and the applicant must be flexible to cover holidays/staffsickness as and when required.
Working hours will be on a shift pattern between core practice hours of 7.30 am and 6.30pm.
Main duties of the job
To beresponsible for undertaking a wide range of administrative duties and theprovision of administrative support to the multidisciplinary team. Duties caninclude but are not limited to, the processing of information (electronic andhard copy) in a timely manner, liaising with multidisciplinary team membersand external agencies such as secondary care and community service providers andin accordance with current policies, including the use of the electronicreferral service (ERS). Scanning, coding, summarising, dealing with telephone calls, booking/cancelling appointments.

The Practice has a listsize of over 10,500. We are a friendly, aspirational and enthusiastic team. We are also a training practice. Theclinical team consists of 4 Partners, 4 Salaried GPs, 2 ARRS GPs, Paramedic, Mental Health Nurse, 2 Practice Nurses,1 Assistant Practitioner. Trainee Nurse Associate, Phlebotomists. The admin teamincludes Practice Manager, Deputy Practice Manager, Team Leaders and acompliment of administration and data personnel.

Job responsibilities
Thefollowing are the core responsibilities of the medical receptionist / administrator. There maybe on occasion, a requirement to carry out other tasks; this will be dependentupon factors such as workload and staffing levels:
Processingincoming and outgoing mail
Fileand store records as required
Photocopydocumentation as required
Actionemails on NHS.net
Processcalling letters as requested
Dataentry of new and temporary registrations and relevant patient information
Scanningof patient related documentation and attaching scanned documents to patientshealthcare records
Processreferrals to external agencies such as secondary care
Inputdata into the patients healthcare records as necessary
Processreferrals using the electronic referral system (ERS)
Processrequests for information i.e. SAR, insurance / solicitors letters and DVLAforms
Processincoming e-test results, ensuring they are referred to the relevant clinician
Readcode data on EMIS web
Answerincoming phone calls, transferring calls or dealing with the callers requestappropriately
Maintaina clean, tidy, effective working area at all times
Bookappointments
Supportall clinical staff with general administrative tasks as requested
Inaddition to the primary responsibilities, the medical administrator may berequested to:
Partakein audit as directed by the audit lead
Producemeeting agendas and record the minutes of meetings
Completeopening and closing procedures in accordance with the duty rota
Asrequired support the prescription team in the management of repeatprescriptions, ensuring they are processed accurately and efficiently
