PIMCO is seeking a highly organized and proactive Recruitment Coordinator to support our lateral hiring efforts. This role serves as a key point of contact for all recruitment-related activities and plays a critical role in delivering a seamless candidate experience. Working closely with recruiters, hiring managers, external partners, and candidates, the coordinator will help drive the execution of recruitment strategies aimed at attracting top-tier talent to the firm. Please note, this role will be hired within an outsourced team but join the on-site team at PIMCO
Key Responsibilities:
* Provide comprehensive coordination support to a team of recruiters, including scheduling and coordinating in-person, phone, and video interviews across global time zones.
* Serve as a liaison between candidates, recruiters, and business stakeholders to ensure a smooth and professional recruitment process.
* Compile and manage interview feedback and briefing documents with accuracy and confidentiality.
* Maintain data integrity and ensure timely updates within the Workday applicant tracking system (ATS).
* Post job openings on internal and external platforms, ensuring alignment with hiring needs and branding standards.
* Collaborate with recruiters to prepare offer proposals, secure necessary approvals, and generate offer documentation.
* Conduct pre-offer compliance checks to ensure all regulatory and internal requirements are met.
* Build and maintain trusted relationships with internal HR teams, hiring managers, and executive assistants.
* Contribute to ad-hoc HR initiatives and projects as needed.
Qualifications & Requirements:
* 1–5 years of experience in a Recruitment Coordination role, preferably within a corporate or professional services environment.
* Experience with Workday as an applicant tracking systems
* Exceptional attention to detail and ability to manage multiple tasks with speed and accuracy.
* Proven ability to handle sensitive and confidential information with discretion.
* Strong organizational and time management skills; able to work independently and prioritize effectively.
* Comfortable working in a fast-paced, dynamic environment across multiple time zones.
* Professional demeanour with the ability to interact confidently across all levels of the organization.
* Proactive mindset with a strong sense of ownership and follow-through.
* Proficiency in Microsoft Office Suite, particularly Word and Outlook.
* Excellent written and verbal communication skills.
* Strong interpersonal skills and ability to build rapport with internal and external stakeholders.
* Bachelor’s degree from an accredited institution.
