About The Role

Seeking a proactive and organized Administrative Officer to join a busy and dynamic team. This role is the first point of contact for the department, providing comprehensive administrative support and assisting in the coordination and delivery of multiple projects and workstreams.

You will work independently within a structured environment, managing your workload effectively while demonstrating flexibility, adaptability, and professionalism.

Key Responsibilities

Act as first point of contact for internal and external enquiries.
Provide full administrative and secretarial support, including arranging meetings, drafting agendas, taking minutes, and distributing documentation.
Manage multiple electronic calendars, coordinate meetings, and resolve scheduling conflicts.
Maintain and develop efficient filing and information management systems.
Communicate and build effective relationships with colleagues, stakeholders, and partner organisations at all levels.
Respond to emails and correspondence professionally and in a timely manner, ensuring relevant team members receive messages.
Support audits, surveys, research activities, and procurement processes, including raising purchase orders.
Assist with team cover during staff absences and contribute to process improvements.
Ensure all activities comply with information governance and data protection requirements.

Essential:

Required Qualifications & Experience

NVQ Level 3 or equivalent in administration/secretarial work, or demonstrable experience.
Knowledge of administrative procedures and IT systems.
Experience working in a busy administrative environment with strict deadlines.
Experience in minute-taking and servicing meetings.
Evidence of recent professional development.
Understanding of GDPR/data protection requirements.
Proven ability to work effectively as part of a team.

Desirable:

Experience supporting projects or programmes.
Experience in public sector or healthcare settings.

Skills & Attributes

Competent in Microsoft Office (Word, Excel, Outlook).
Excellent communication and interpersonal skills.
Strong problem-solving abilities and initiative.
Excellent time management and organisational skills.
Self-motivated and able to work independently.
Flexible approach to work and willingness to learn
