As a Fleet Administration Team Leader, you’ll oversee, support, and develop a high‑performing fleet administration team within a large and fast‑paced fleet sales department. Alongside maintaining hands‑on involvement in key administrative processes, you’ll ensure accuracy, compliance, and exceptional service delivery while fostering a positive, collaborative team culture.

Working closely with Fleet Sales Managers, internal departments, and external partners, you’ll play a key role in ensuring fleet operations run smoothly, efficiently, and to the highest standards.

What you’ll do day to day

* Oversee the accurate processing of fleet vehicle orders, including documentation, invoices, purchase orders, and finance paperwork, ensuring full compliance with FCA, DVLA, GDPR, and dealership standards.

* Coordinate vehicle registrations, deliveries, and logistics, working closely with internal teams and external partners to ensure a smooth end‑to‑end delivery process, monitoring orders from placement through to delivery and resolving issues proactively.

* Lead the fleet administration team day to day, acting as the first point of contact for queries and escalations, managing workload priorities, and providing coaching, onboarding, and ongoing development through 1:1s and performance reviews.

* Set, monitor, and maintain KPIs and service levels focused on accuracy, turnaround times, compliance, and customer service, handling complex or escalated customer, leasing company, and broker queries with professionalism.

* Build strong working relationships with Fleet Sales Managers, internal stakeholders, customers, leasing companies, and brokers, while identifying opportunities to improve processes and systems, producing performance reporting, and representing the administration function in departmental meetings.

* Previous experience in fleet administration or automotive administration (preferred)

* Experience supervising, coaching, or supporting a team in a fast‑paced environment

* Strong understanding of fleet sales processes, vehicle ordering, and logistics

* Excellent organisational skills with a high level of attention to detail and accuracy

* Confident decision‑maker, able to prioritise workloads and perform under pressure

* Strong communication skills, with the ability to engage effectively with customers and stakeholders

* Competent using DMS, CRM, and OEM systems

* Customer‑focused mindset with a proactive, solutions‑driven approach

* Professional, calm, and positive attitude when handling complex or escalated issues
