Overview
There is a full‑time opportunity for a Team Secretary, Band 3 to work 37.5 hours per week, Monday to Friday 9 am to 5 pm, based at Longford Primary Care Centre (with a possible relocation in the Coventry area). The role is within the Memory Assessment and Community Dementia Services admin team of the Coventry & Warwickshire Partnership NHS Trust.
The trust provides a range of physical, mental health, learning disability and autism services to communities across Coventry, Warwickshire and beyond. The admin team supports clinicians and managers in the Dementia and Memory Assessment Service and works on standardising admin support across the Trust to improve efficiency and effectiveness for clinical services.
Responsibilities
You will support the standardisation of admin support across the Trust and will lead the day‑to‑day workload of the Admin Support colleagues. Key duties include:
* Providing secretarial support to clinicians and managers in MDT and professional meetings, taking minutes and maintaining accurate records.
* Managing appointments, travel arrangements and correspondence.
* Maintaining databases, filing and data entry using Word, Excel and Outlook with excellent accuracy.
* Advising and assisting service users with compassionate, confidential service, handling sensitive enquiries.
* Building effective working relationships and being approachable and accessible with a flexible approach to work.
* Participating in service improvement initiatives and supporting change.
Qualifications & Experience
* Excellent secretarial, communication and organisational skills.
* Computer literate in Word, Excel and Outlook with strong attention to accuracy.
* Experience of minute‑taking and attending MDT meetings is desirable.
* Ability to multitask, prioritise workload and work both independently and as part of a team.
* Knowledge and experience in customer care is an advantage.
* Empathy for service users and ability to deal with sensitive enquiries confidentially.
