Your Duties will include:

* Maintaining accurate and complete financial records of the home in line with Company Policies and Procedures, using both computer and manual systems.
* Preparing and issuing regular reports within prescribed timescales.
* Processing receipts of monies against resident accounts and maintaining accurate records.
* Preparing and submitting relevant resident financial information to the Finance Department for accurate and prompt invoice production.
* Ensuring continuity of payroll.
* Maintaining staff attendance records and ensuring rotas reflect hours worked accurately.
* Maintaining complete files for residents and staff in line with policies and procedures.
* Providing administration and secretarial support to the Home Manager, e.g., typing, filing, handling correspondence, within prescribed timescales.
* Operating and maintaining office equipment such as fax, photocopier, and computers, calling in external assistance if required.
* Answering the telephone, responding to queries from residents and visitors, redirecting enquiries efficiently.
* Maintaining stationary stocks, including forms used regularly.
* Ordering and maintaining records of staff uniforms and badges where required.
* Following processes and flow charts provided by Head Office, ensuring timely communication regarding invoices.
* Ensuring Caresys/Resourcelink is fully optimised to capture all relevant information, including new enquiries, new starters, resident move-ins and outs, and fee changes.
* Preparing for new move-ins, ensuring relevant preparations are communicated.
* In the absence of a receptionist, duties include greeting visitors, answering and transferring calls, maintaining the reception area, and general HR duties such as managing recruitment processes, onboarding, right to work checks, and references according to Safer Recruitment Policy.

To be successful in this role you will need:
* A confident, outgoing personality with a sales-oriented approach to assist the viewing process.
* Proficiency in Microsoft Word, Excel, and PowerPoint.
* Excellent written and verbal communication skills.
* Highly organised with the ability to manage your own time, prioritise work, and work independently to drive referrals and improve occupancy.
* A professional appearance.
* The ability to work to tight deadlines and attention to detail.
