Overview
Hythe Medical Centre are looking for a Reception Lead to support our hard working team of receptionists, administrators and medical secretaries.
The role will consist of working front of house and undertaking reception/administrative duties as well as having dedicated management time.
Main duties of the job
* a. Overseeing the administration team and support operations of the practice, ensuring staff achieve their primary responsibilities
* b. Line managing all administrative staff, supporting staff development, providing guidance and direction and appraisals and ensuring staff are up to date with mandatory training
* d. Identifying and delivering team training where required
* e. Compiling administration staff rotas and managing overtime
* f. Reviewing and updating all administrative and reception policies and procedures as required
* g. Supporting the management team in the compilation of practice reports and the practice development plan
* h. Developing, implementing and embedding efficient office processes
* i. Acting as a focal point for the practice, managing requests from external organisations such as the local police, solicitors, DVLA and other agencies
* j. Co-ordinating the provision of temporary administrative and reception staff, ensuring sufficient cover is provided
* k. Updating the appointment system to reflect leave and other approved absences
* l. Providing initial guidance to patients who wish to verbally complain
* m. Managing all deliveries to the practice, ensuring adherence to the cold chain policy as necessary
* n. Acting as building fire marshal
* o. Manage opening and closing logs
* p. Prepare and manage room cleaning sheets
* r. Manage huddle template for weekly circulation with input from clinicians
About us
We are a friendly GP surgery working over two sites in Staines and we are looking for a reliable and motivated individual to join our team and support the Practice Manager and Business Manager in the day to day running of the Practice.
Job responsibilities
To be responsible for the efficient management and direction of the reception team, ensuring all administrative duties are performed effectively and to the required standard, meeting the objectives of the practice.
To support the management team in promoting equality, diversity and inclusion, safety, quality and continuous improvement, confidentiality, collaborative working, service delivery, learning and development, and to carry out other duties as directed by the management team.

Qualifications
* GCSE grade A to C or equivalent in English and Maths
Experience
* Previous reception, administrative or medical secretarial work in a GP Practice
* Ability to use EMIS
* Experience of managing a team
