Responsibilities / Tasks
We are seeking a data-driven, detail-oriented, and technically versatile Internal Sales Project & Import Co-ordinator to play a key behind-the-scenes role supporting our Projects and Internal Sales teams.
The successful candidate will have working knowledge of Microsoft Excel and SAP, along with the ability to manage multiple administrative and data-focused processes with accuracy and consistency.
Internal Sales – Project Support
1. Administer and ensure data accuracy, usability, and alignment with GEA project processes and governance
2. Lead the maintenance of the Project Tracker
3. Liaise with the Projects Team regarding project administration requirements
4. Ensure required authorisations are in place before proceeding with any project amendments within SAP
5. Ensure project milestones are achieved
6. Support the development and refinement of documentation and processes to ensure project accuracy and transparency throughout the full project lifecycle
Internal Sales – Import/Export Support
7. Administer and ensure accuracy and alignment with GEA and HMRC processes and governance
8. Lead the maintenance of the Import/Export Tracker
9. Ensure Import and Export documentation governance and procedures are followed
10. Manage RGA collection and export documentation
11. Liaise with the Internal Service Sales Team regarding import/export administration requirements
12. Process import/export-related purchase invoices for payment
13. Manage import/export-related purchase invoice authorisation
14. Provide bank holiday and Christmas cover on a rota basis
Internal Sales – Forecasting Support
15. Support the Finance team in forecasting expected monthly revenue and GM% for open and live projects
General Responsibilities
16. Ensure all activities are carried out in accordance with the company handbook (including Health & Safety) and the GEA Code of Compliance
17. Provide holiday cover for the Internal New Machinery Sales and Import/Export Teams
18. Provide support to other team members as required
19. Undertake ad hoc duties as required to meet company needs
Your Profile / Qualifications
20. Minimum GCSE (or equivalent) level education
21. Strong Microsoft Office skills are essential
22. Demonstrable experience or training in office administration is essential
23. Minimum of 2 years’ experience in a similar role is required
24. SAP experience or background is desirable
Technical & Systems Skills
25. Strong IT skills, including effective use of:

30. Proficiency in communicating effectively via telephone, email and teleconference, including supporting predominantly remote teams
