Main Purpose of Role
To ensure all documents received into our inbound scanning department are prepped, scanned and captured in accordance with agreed requirements and service levels, ensuring quality and integrity of data and information is maintained throughout the process.
Role Description
The Document Services Operative plays a crucial role in ensuring the efficient management and digitisation of physical documents. They are responsible for handling, organising, and converting paper-based information into digital formats, making it accessible to clients through online repositories.
Potential Responsibilities:
Document Preparation:
Open, sort, and organise physical documents received from various sources.
Remove staples, paperclips, and other bindings to prepare documents for scanning.
Scanning and Digitisation:
Operate scanning equipment to convert paper documents into electronic files.
Ensure high-quality scans, proper orientation, and accurate indexing.
Maintain confidentiality and security during the scanning process.
Data Capture and Indexing:
Enter relevant metadata for certain scanned files.
Quality Control:
Review pre and post-scanned documents to verify accuracy and completeness.
Address any issues related to image quality, missing pages, or misfiled documents.
Shifts: Monday to Friday - 07.30am - 3.30am
Pay: 11.90ph
Required qualification/experience/skills
High attention to detail and organisational skills
Ability to handle confidential information with discretion
Strong communication skills
Ability to work individually and as part of a team
GCSE pass (or equivalent) in Maths and English
Basic computer skills
Ability to be flexible and fluid with workload.
Desirable qualification/experience/skills
Understanding of Microsoft applications more specifically Word and Excel
Office/Administration experience
Experience use of scanning equipment
