We are pleased to be hiring a Logistics Specialist at our UK site, based in Rhymney, Wales. The role is the primary point of contact to named Client’s/Study’s. They are responsible for ensuring that the appointed clients receive prompt, efficient, accurate service and with the highest standard of customer service. Duties and Responsibilities: As primary contact, you will be responsible for initiating meetings, teleconferences as appropriate with the Client and other relevant parties. Liaise and update client as required on an on-going basis. Co-ordinate the international movement of goods, prepare and review shipping documents, such as invoices, bills of lading, and customs declarations. Ensure compliance with local and international trade regulations. Manage logistics from origin to destination, prepare documentation (bills of lading, invoices), and liaise with freight forwarders, customs brokers, and government agencies to facilitate smooth, timely shipments. Classification of goods, to ensure correct calculation of duties and taxes, to support accurate customs declarations. Adhere to all Sharp policies, processes and Standard Operating Procedures (SOP) to ensure compliance with GMP and GDP. Responsible for the provision of all aspects of shipping advice as per client requirement. Review all data received upon quote acceptance and request any data that is not present but required regulatory documentation and Technical Agreement. Responsible for the logistics management of specific allocated distribution projects. Responsible for the project management of depots as per project requirement. Responsible for the preparation and administration of specified reports. Responsible for liaising with couriers and other specialists as necessary associated with the shipment of clinical trial supplies. Prepare and administer appropriate paperwork for the distribution and retrieval of study materials, in accordance with client specific requirements and Sharp Clinical Services Europe’s SOPs. For allocated studies, responsible for ensuring timely/accurate preparation and administration to encompass all activities required to allow the distribution of study materials. Ensure individual tasks are carried out in accordance with client specific requirements and Sharp Clinical Services Europe’s SOPs where applicable Distribution Instruction is to be followed. Inform the Team Manager of project delays and recommend appropriate solutions. On completion of each quotation ensure all reporting for invoicing is complete, ensure materials surplus to requirement are dealt with as per Sharp SOP or applicable client specific contractual agreement. Responsible for the project management of ‘Return’s / Incineration’ service in compliance with Sharp Clinical Services UK SOPs and client requirement. To undertake any project requested by management. When directed, in the absence of the Team Manager take the ‘lead role’ for the logistics team. Essential: Logistics Specialist. Knowledge of Trade Regulations: Deep understanding of international trade laws, customs procedures, and shipping regulations. Experience with freight forwarding, shipping documents, and incoterms. Strong understanding of Incoterms, HMRC regulations, and import/export processes. Strong understanding of international trade laws, customs procedures, and shipping regulations. Client account management experience. Ability to manage several tasks/projects at once. Proficient with Microsoft office suite, in particular Excel. Strong ability to read, write and comprehend the English language. Ability to communicate effectively. Attention to Detail: High accuracy in documentation. Preferred: Ideal candidate would be aware of and have experience in a regulated environment, preferably in the healthcare industry. Experience with SAP. Clinical Trial/pharma industry experience.
