To provide administrative and operational support to the Eastgate warehouse and project functions, ensuring accurate processes are carried out and recorded in a timely manner and to ensure good communication with internal and external customers and suppliers. The role combines administrative governance with hands-on warehouse coordination to support asset tracking, staging control, workflow scheduling and operational continuity.
Main Tasks and Objectives
· To perform daily administrative activities for department operations
· To support the Projects Stock manager in producing work schedules for ongoing workflow
· To support the Projects Stock manager in investigating stock errors and report back the findings
· To assist with the documentation of department processes and guides
· To assist with maintaining department records in accordance with company policy and procedures
· To deal with telephone and email enquiries
· Support team members with other department activities when necessary
· Maintain department stock databases ensuring sufficient information is available for correct identification in line with the needs of the department
· Monitor customer stock needs ensuring sufficient stock is available to fulfil requests in line with department processes
· To communicate with customers to prevent stock outages for scheduled works
· To assist in Identifying alternative solutions when required
· Liaise with other departments to ensure department objectives are completed
· To support the Projects Stock manager in producing recurring and ad-hoc reports
· To assist with coordination of daily supply chain activities in line with project and customer priorities
· To maintain visibility of inbound and outbound stock movements
· Support physical stock checks, reconciliation and investigation of variances
· To assist with serialised asset tracking and equipment lifecycle control
· Maintain accurate project and returns registers including ITAD / disposal
· Provide cross-cover support during periods of operational or administrative absence
· Liaise with warehouse operatives to ensure workflow is aligned to departmental priorities
· Support continuous improvement of warehouse processes and data accuracy
Outcomes and Deliverables
· Detailed up-to date pallet stock information.
· Live workflow scheduling is completed in line with department priorities
· High level of customer service such that strong business relationships are maintained
· Effective communication internally with own and other departments on a day-to-day basis regarding department activities events processes and forecast
· To assist in the development of a continuous improvement culture for the department processes to ensure that it is the best it can be
· High level of policy, procedure and health and safety compliance
· Accurate real-time visibility across departmental warehouse operations
· Effective coordination across supply chain reporting functions
· Reduced operational risk through improved administrative resilience
· Improved governance and traceability of equipment movements
In addition to the above duties the post holder must be prepared to undertake such additional duties which may result from changing circumstances.
