Job Summary

To provide receptionist support in the Trauma, Orthopaedic & Rheumatology Outpatients and Fracture Clinic. The post is part of a professional team responsible for efficient and accurate administration and reception cover for the Outpatient clinics, with adherence to RTT Access Policy and Administrative Procedure Notes (APNs).


Main duties of the job

* Provide reception and administrative support for Outpatient clinics with efficient administration and adherence to RTT Access Policy and APNs.
* Comply with the Corporate Governance structure and complete on-the-job training through instruction and practice, including Patient Case notes, Information Governance and iPM training.
* Ensure data quality and data protection, and understand administration processes and APNs.
* Compile and sort patient clinic attendance sheets and ensure clinic notes are received into Reception.
* Receive and welcome patients and relatives and direct them to the waiting area.
* Keep In Touch system updated for patient arrivals and encourage use of Self Check In kiosks.
* Update patient details on computer systems and front sheets/labels of Health Record folders as necessary.
* Admission and discharge of patients for minor operations, with appropriate procedure codes where necessary.
* Process non-eligible NHS patients and overseas visitors appropriately.
* Accommodate follow-up patients arriving without appointments when feasible, advising those not referred to see their GP.
* Add patients to follow-up waiting lists if an e-outcome waiting list has not been generated.
* Record RTT codes and outcomes in iPM within required timescales; make appointments within six weeks as per clinicians’ requirements and booking rules.
* Refresh iPM Day Clinic View to identify missing outcomes; chase DNA/outcome forms to ensure accurate data.
* Handle telephone and verbal enquiries courteously and assist with patient transport queries.
* Promote the Friends and Family survey to patients.
* File loose documents in the correct section of patient case notes and maintain note integrity.
* Trace and manage patient case notes within the department; assist with training and provide cross-site support as required.
* Contribute to annual performance reviews and participate in on-the-job informal training.
* Work with the nursing team to provide administrative support as needed.
* Be aware of potential difficult situations with patients and respond with empathy and tact.


Communications & Working Relationships

Maintain politeness and courtesy, keep patients informed of issues affecting their appointments, and foster good relationships with hospital departments, clinicians, nursing and appointments staff. Working hours: 08:00 – 18:00 with potential for shifts across 7 days in the future.

Person Specification

Essential

* GCSE grade C/4 or equivalent, or demonstrable administrative experience; computer literate; keyboard skills.

Desirable

* Experience with administration systems in a large clinical setting.

Knowledge & Experience

* Ability to undertake training competencies; experience working with the general public. Desirable: experience in a clinical setting.

Aptitude & Abilities

* Good written and verbal communication; good telephone manner; organisational skills and ability to prioritise and plan work.
