Overview
We are seeking to recruit a Secretary who has a passion for high quality customer care to work within the Dermatology Department. This is a full time role. You'll provide comprehensive secretarial support to the current admin team, consultants, associate specialists, and other allied health professionals. The right candidate will have excellent IT and typing skills.
Main duties of the job
Communicate effectively with patients, colleagues, and internal and external contacts in a courteous, professional, and timely manner using a variety of methods, including telephone, written, and face‑to‑face communication:
* Manage day‑to‑day correspondence, initiating appropriate action to ensure patients, staff, and external parties receive accurate information in a friendly and professional manner.
* Receive and manage telephone calls, taking accurate messages on behalf of members of the specialty team and taking appropriate action where required.
* Liaise with members of the multidisciplinary team to gather, coordinate, and maintain patient information in a timely and accessible manner, including tracking dermatology patient pathways.
* Ensure all investigation results are received promptly, highlight urgent or abnormal results for immediate attention, and arrange follow‑up appointments within required timeframes.
* Receive and prioritise patient correspondence, ensuring urgent documentation is escalated promptly to the appropriate clinician.
* Complete inter‑provider transfer documentation accurately and within required timescales.
* Type all forms of clinical correspondence as dictated by medical staff using audio or copy typing methods, ensuring accuracy and confidentiality, process urgent referrals, arrange appropriate outpatient appointments, and update pending lists when referral priority changes.
* Add patients to waiting lists in line with Trust procedures, ensuring accuracy and data quality.
Qualifications
* Good standard of general education.
* Must be able to communicate in English, both written and verbally, appropriate to the post.
* RSA/OCR III WP/Typing or equivalent.
* AMSPAR or British Medical Secretary Diploma (includes medical terminology) or equivalent knowledge.
* Working knowledge of Microsoft Office suite.
* Knowledge of medical terminology.
* Minimum of 2 years secretarial experience.
* Good communication skills on the telephone, via email, face‑to‑face and in written correspondence.
* Professional and responsible approach at all times.
* Advanced keyboard skills.
* Able to cope in a busy working environment.
* ECDL or equivalent.
* Working knowledge of in‑house hospital systems.
* Knowledge of patient notes / retrieval and related tasks/medical records procedure.
* Knowledge of Department and Divisional Structure.
* Medical audio typing.
