Service Support Administrator

Location: Reading (Hybrid – first few months in office during training)

Department: ICT Services – Service Desk

Type: Full‑time


We’re looking for a highly organised and detail‑driven Service Support Administrator to join our ICT Services team. This role is central to keeping our service operations running smoothly and efficiently. You'll play a crucial part in maintaining accurate service records, handling dealer invoicing, coordinating with suppliers and logistics partners, and supporting both internal teams and our customers.


This is an excellent opportunity for someone with a strong administrative background who thrives in a fast‑paced, customer‑focused environment and understands how great admin directly supports business performance and revenue.


What You’ll Be Doing

* Maintaining accurate machine and service records to support reporting, KPIs, and operational workflows
* Liaising with suppliers, dealers, and logistics partners to resolve delivery, service, and equipment issues
* Managing dealer invoicing and collating data for one‑time chargeable customers
* Handling proof of delivery notes and coordinating service swaps, DOA devices, and related processes
* Preparing and issuing quotes for chargeable services and working closely with internal teams
* Providing non‑Incident Desk phone support and managing the shared team mailbox
* Ensuring all administrative documentation is precise, up‑to‑date, and compliant with internal processes
* Supporting the wider service team during absences and contributing to continuous service improvement


What We’re Looking For

* Strong administrative background with proven experience working in a process-driven environment
* Exceptional attention to detail, especially when working with data, records, and invoicing
* Excellent communication skills, with the confidence to engage professionally with customers, suppliers, and internal teams
* Proactive problem-solving abilities—able to investigate issues and follow processes to resolution
* Good IT skills, including service management systems and Excel
* Highly organised, adaptable, and able to manage multiple priorities
* Someone who understands how accurate administration contributes directly to service quality and company revenue
