They are now seeking a proactive Business Operations Assistant to support day-to-day business activities and assist in the smooth running of internal systems and processes. Working closely with the Practice Manager, this role is ideal for a highly organised individual with strong administrative experience and a keen eye for detail.
This is a varied position offering exposure to CRM, project management, and finance tools, as well as opportunities to get involved in social media, compliance, and team coordination.
Salary: Up to £30,000
The Role
Administrative Support
1. Provide ongoing assistance to the Practice Manager with scheduling, documentation, and internal communications
2. Help coordinate internal meetings, training sessions, and team events
3. Assist in the preparation of reports, presentations, and other internal materials
Systems & Data Support
4. Support the accurate use and maintenance of platforms including CRM, project tracking, time logging, and finance tools (., Pipedrive, ASANA, Everhour, Xero)
5. Troubleshoot system issues and liaise with support teams when needed
6. Deliver basic training or guidance to team members on system use
Process Compliance & Improvement
7. Help monitor internal compliance with procedures, especially around data accuracy
8. Conduct regular checks on system records and contribute to ongoing improvements in workflow efficiency
Customer Enquiries & Support
9. Handle inbound enquiries professionally and direct them to appropriate team members
10. Assist in managing customer feedback and contributing to client satisfaction initiatives
Financial & Invoicing Support
11. Support invoice generation, ensuring accuracy and timely distribution
12. Assist with monitoring outstanding payments and maintaining financial records
Office & General Administration
13. Help with procurement of supplies and basic office logistics
14. Manage inbound communications including calls, emails, and post
Team Support & Coordination
15. Work closely with the Practice Manager to maintain a well-coordinated administrative function
16. Foster a supportive and collaborative team environment
Social Media & Marketing
17. Assist in creating and scheduling social media content
18. Monitor engagement and respond to messages/comments professionally
19. Contribute to the company’s online presence and visibility strategy
Compliance & Quality Monitoring
20. Support communication and documentation processes for internal audits and customer feedback loops
21. Assist with periodic quality checks in collaboration with the compliance team
Health & Safety Awareness
22. Contribute to maintaining a safe and compliant working environment as appropriate to your role
The Person
23. Strong organisational and time management skills
24. High attention to detail, particularly in documentation and data input
25. Confident verbal and written communication
26. Familiarity with systems such as CRM, project tracking, or finance platforms (Pipedrive, ASANA, Xero, etc. – desirable)
27. Positive team player with a proactive, problem-solving mindset
28. Adaptable and willing to learn new technologies and processes
Qualifications & Experience:
29. Previous experience in an administrative or office support role
30. Background in construction or professional services (desirable)
31. Comfortable with Microsoft Office (Word, Excel, PowerPoint)
32. Professional attitude and strong work ethic
