KEY RESPONSIBILITIES Complex calendar management across business and personal schedules Immediate actioning of forwarded emails and follow‑ups Anticipating needs and ensuring seamless daily operations Scheduling personal diary appointments Managing glam/resource vendor schedules Maintaining and updating inventories Managing and organising contact lists Preparing notes, memos, letters, and reports Coordinating travel and producing detailed itineraries Travelling at short notice, including internationally Managing mail, filing systems, and Dropbox organisation Supporting planning and coordination of events across multiple locations Handling invitations, RSVPs, and liaising with House Manager, F&B Manager, Chef, Florist, and planners Receiving VIP guests Attending meetings, preparing documents, agendas, and minutes Running errands as required Providing weekly reports to the principal Coordinating cover for other Executive Assistants Supporting ad‑hoc projects QUALIFICATIONS & EXPERIENCE Bachelor’s degree preferred Minimum 5 years’ experience as a PA/EA to C‑suite or UHNW principals Extensive experience working within large private households (20 staff) Strong UHNW household/private office background Highly organised, detail‑driven, discreet, and reliable Proactive, polished, and solutions‑focused Excellent written and verbal communication skills Able to work independently in a fast‑paced environment Diplomatic, trustworthy, and committed to confidentiality Advanced proficiency in Microsoft Word, Excel, and PowerPoint Must live within a 30‑minute commute of Mayfair CORE COMPETENCIES Exceptional communication Outstanding time management High attention to detail Multi‑tasking and prioritisation Calendar and administrative mastery Strong interpersonal skills High computer literacy
