Contract length: 6 months initial contract
Hours: Monday - Friday 37.5 hours per week

Responsibilities:
* Data Entry and Tracking: Accurately input data into various trackers, including the Training Matrix. This involves scanning paper files, renaming, and electronically filing them on the shared drive, as well as managing records for new hires and leavers.
* Procurement and Finance: Raise Purchase Orders (POs), liaise with external suppliers for course bookings, log payments on the budget tracker, process incoming payments, and follow up on outstanding expenses.
* Mailbox and File Management: Monitor the training mailbox and manage existing drive files, ensuring proper renaming during file transfers for current associates.
* Contractor Compliance: Monitor the contractor induction tracker, which includes scanning and filing documents and verifying that gatehouse data aligns with the evidence held.
Reporting:
* Status Reporting: Compile and distribute period training status reports to Area Owners.
* Financial Reporting: Provide budget spend reports to the Senior Leadership Team (SLT).
Digital System Transfer & Documentation (Poka/WI's/SOPs):
* Poka System Transfer: Transfer existing course records and delegate information into the Poka system. This involves building the course record and adding applicable records and certificates.
* Work Instruction (WI) Support: Provide support to B3 line Subject Matter Experts (SMEs) with limited PC skills to create digital Work Instructions and supplementary video guides (using tools like Microsoft Clipchamp).
* SOP Maintenance: Support the maintenance of existing Standard Operating Procedures (SOPs) during the transition from paper-based SOPs to digital WIs, including supporting the hygiene element transfer from a legacy system.
* Legacy Record Management: Transfer training records from the legacy Microsoft system to Poka, which involves working with large spreadsheets (approx. 70-80 rows, 250 columns) and creating reports.
Quality and Environment:
* Quality Panel: Coordinate and request the quarterly Quality Panel layout and sample process.
* On-site Presence: Be comfortable with working within industrial environments, specifically factories that produce animal treats.
Essential Skills and Attributes:
* Excel Proficiency: Strong working knowledge and comfort with Microsoft Excel, including inserting cells and navigating large data sets.
* Attention to Detail: A sharp eye for detail is crucial for accurate data input and reporting.
* Communication & Writing: Excellent command of written English and the ability to reword, rephrase, and assist people with creating and transferring SOPs and Working Instructions.
Adaptability: Comfortable and adaptable when learning and using new software systems.
