The Vacancy
Job Purpose
The Inventory Coordinator is an essential member of the parts function and the wider contract delivery team. They will support the sourcing, supply, and return of parts and materials across the M&S portfolio, fostering a culture of continuous improvement. Taking full responsibility for their region, they will collaborate closely with regional account leads, AMMs, and operational delivery teams to review needs, develop, and implement activities to improve the cyclical process of parts and materials management, acting as One City.
Key Accountabilities
Safety
* Develop and promote a positive safety culture, ensuring effective reporting and investigation of hazards, near misses, incidents, and accidents.
* Maintain safe storage for parts.
* Ensure compliance with City and M&S health and safety policies.
* Conduct regular health and safety audits and inspections monthly.
* Engage with the contract customer base and City functions on health, safety, quality, and environmental matters. Develop methods to minimize environmental impact.
* Maintain high vehicle and driving standards.
People
* Foster an effective team culture aligned with City and client values.
* Participate actively in wider team initiatives and events.
* Lead your region's parts management for indirect customers (City & M&S).
Service
* Ensure high parts availability and efficient returns to support UK contract delivery teams.
* Perform quarterly stock takes to assess stock quantity and value.
* Identify trends to optimize parts stock, including standardization or universal parts.
* Provide monthly reports on parts requirements, supply timelines, and average waiting times.
* Implement processes to reduce incorrect parts selection and improve parts delivery and return efficiency.
* Support the development of systems to catalog parts, making St Helens the primary supply point.
* Explore opportunities to expand services, including parts recycling, buy-back of slow-moving stock, and use of repair centers.
* Ensure stock from all locations is returned and prevent stockpiling through proper tracking, reuse, and recycling.
Other
* Re-use, reduce, or recycle parts and packaging to limit environmental impact and costs.
* Engage operational teams to better understand parts requirements and stock issues.
* Collaborate with customers, specifiers, and installers to identify critical spares and stock needs.
* Maintain positive relations with local suppliers to support third-party stock opportunities.
Knowledge, Skills, and Abilities
* Experience in engineering within FM, preferably retail.
* Knowledge of stock control, parts management, and inventory systems.
* IT proficiency, especially in Microsoft Office.
* Experience managing remote teams in fast-paced customer service environments.
* Strong leadership, communication, persuasion, and influencing skills.
* Desirable: knowledge of maintenance services in FM, CAFM systems.
* Excellent planning, organization, and prioritization skills.
* Results-oriented, accountable, flexible, and proactive problem solver.
* Financial and commercial awareness.
