This role at The Driver and Vehicle Standards Agency (DVSA) is available to people who served in the Armed Forces, OR are in their resettlement period or due to leave the Armed Forces within a reasonable time frame, OR Military Spouse/Partner: Your current partner must still be serving OR was discharged within the last 12 months.

About the Driver and Vehicle Standards Agency (DVSA): We carry out driving tests, approve people to be driving instructors and MOT testers, carry out tests to make sure lorries and buses are safe to drive, carry out roadside checks on drivers and vehicles, and monitor vehicle recalls. DVSA is an executive agency, sponsored by the Department for Transport.

Job Title: Frontline Supply Officer.

Job Grade: Administrative Officer (AO).

Positions available: 1.

Salary: £25,159.

Location: Newcastle.

Contract Length: 24 Months.

Hours: Monday to Friday – times to be agreed with manager – generally between 8-5 local time, 37 hour week. The DVSA currently uses a Hybrid working model, so this role may involve a mix of office and home working. Some training may need to be completed at the office.

As a Frontline Supply Officer you will be responsible for providing essential equipment and support to Frontline staff across the Driver and Vehicle Standards Agency (DVSA), which covers over 600 locations across Great Britain.

You will be part of a team supporting Frontline staff in delivering services at these sites. Your tasks will include, but are not limited to, buying stationery, protective and work clothing, health and safety items, signage, translation services, and furniture. You will also work with others to organise estate changes, such as refurbishments, relocations, openings, and closures.

You will be responsible for paying invoices promptly and keeping records up to date. You will also respond to questions from internal and external stakeholders.

Throughout, you must ensure that best practices, value for money and financial efficiency are maintained, in line with contracts and service agreements.

You will work as part of a team but will need to be able to manage your own workload and tasks independently.


Main Duties

Provide tools and equipment to the frontline sites and colleagues of DVSA.

* Purchase general goods and services using various IT systems and Electronic Payment Card Services, in line with procurement guidelines.
* Assist in the delivery of new testing facilities, relocations and closures ensuring that all necessary supplies, furniture, signage and other service provisions are delivered in a timely manner.
* Apply value for money and sustainable development guidelines in all cases of procurement.
* Liaise with various internal and external customers and suppliers.


Payment and Record‑Keeping

Ensure accurate and efficient payment of goods and services.

* Establish the receipt of goods and services in a timely manner, by liaising with customers.
* Process invoices.
* Raise purchase orders for goods and services being purchased, as necessary.
* Confirm receipt of goods and services.
* Ensure all purchasing, invoicing and goods receipting procedures are carried out appropriately to contribute to the Agency’s prompt payment target.
* Liaise with our finance team to settle any finance queries.


Team Support and Record‑Keeping

Work as part of a team to ensure records are kept up to date and workloads are fulfilled.

* Maintain spreadsheets, databases and filing systems, to ensure information is accurate, up to date and stored accordingly.
* General office support including taking meeting minutes, arranging stationery orders and answering telephone calls and emails.
* Work within a ROTA of tasks to support shared team tasks and cover team absences.
* Follow team procedures for processing and completing a range of workloads, highlighting possible problems, areas of concern or required updates and sharing new knowledge to improve team performance.
* Execute own responsibilities effectively and in line with DVSA policies and processes, ensuring that daily tasks and activities are delivered against agreed objectives.

The above is not an exhaustive list and other ad hoc duties may be assigned across the team at short notice.

Training will be provided to help you understand your role and perform your duties effectively.

During your training period you are likely to be fully office based.


Skills and Experience

* A good working knowledge and experience in using Microsoft applications such as Outlook, Word, Excel, Teams and SharePoint.
* Good written and verbal communication skills.
* Willingness to learn new skills and work flexibly within a team.
