We have an exciting opportunity for an experienced EA to support a highly successful and inspiring principal from their home office in Central London. Working alongside a Private PA, you will be responsible for managing all of the business correspondence for the principal, including comprehensive inbox management, as well as frequent complex travel management. The ideal candidate will be purpose-driven and highly organised, with exceptional written and verbal communication skills to effectively and seamlessly communicate and build relationships with the principal’s wide-ranging global network. You must also demonstrate outstanding administrative skills to successfully provide senior-level support to the principal on various complex, sensitive, and confidential matters. The ability to multitask is essential to coordinate and prioritise the principal’s complex schedule and numerous commitments. Along with impeccable time management skills, the successful candidate must be resourceful, have an exacting eye for detail and take a proactive approach to problem-solving. The role is ideal for an EA who excels in building rapport remotely. The principal travels for approximately 6 months of the year, and so you will be required to adjust your working hours accordingly to meet the needs of her time zone. You will also be required to travel with the principal throughout the year for various business commitments, usually for up to 4-6 weeks, but could be up to 12. This role required a great deal of flexibility - standard office hours are from 9am - 5pm, Monday – Friday, when the principal is in residence. The principal travels for approximately 6 months of the year, and so you will be required to adjust your working hours accordingly to meet the needs of her time zone (usually from midday to 9pm). In addition, you will be required to be on-call out of hours for any urgent matters that arise and need immediate attention. You will also be required to travel with the principal throughout the year for various business commitments, usually for up to 4-6 weeks in total, but could be up to 12 depending on the schedule. This client is ideally looking for an immediate start for this role. DUTIES TO INCLUDE: • Highly complex inbox and diary management across multiple time zones • Develop and maintain tracking systems to facilitate prioritisation and the follow-up of key activities, projects, and email correspondence on behalf of the principal • Possess exceptional written and verbal communication skills to compose correspondence tailored appropriately for the principal’s diverse global network in person, online, in writing, and on the phone • Manage an extremely busy travel schedule and provide necessary confirmations and proactive communication • Management of expenses and accounts • Work collaboratively with team members and peers • Design, develop, and maintain a physical and electronic filing system, and capture and categorise all the principal’s information and documents provided • Assist with special projects and events as needed, including conducting research, event planning, preparation for speaking and other engagements • Document all vacation and time-off requests of team members • Apply an innovative and creative thought process to all aspects of the role ESSENTIAL CRITERIA: • Minimum of 5 years Executive Assistant experience supporting a high-level executive • Preference is given to those with longevity in previous, similar roles • Prior experience in a not-for-profit organisation would be highly desirable • Expert organisational and project management skills with precise attention to detail • A superior command of the English language. Fluency in French is a plus • Tech savvy with a high level of proficiency with Microsoft Office, online storage drives and online meeting platforms • Dedicated and committed; an individual who appreciates the importance of being in a critical support role and is willing to step in and assist with ad-hoc requests • Analytical and good with numbers • Flexible, adaptable and comfortable with work-life integration; ability to work outside standard office hours and in different time zones • Can work independently with minimal supervision • Ability to travel several times a year • A Degree would be an asset, but is not essential • Excellent, checkable references
