Role Overview
The primary responsibility of this role is to provide high-level Personal Assistant support to the Managing Director (MD) of GTDS. The PA will work closely with the Senior Leadership Team and collaborate with key business support areas including Finance, HR, IT, and Legal, to ensure smooth coordination and communication across the organisation.
What will you be doing?
* Management scheduling and administration needs of the MD and organisation of the day-to-day schedule of the team, to include identification and resolution of potential issues. Administration also includes expenses, personnel reviews and filing.
* Proactive management of MD to ensure that he attends meetings on time with the appropriate documents and presentations, liaising with stakeholders of meetings, internally and externally, to ensure agendas and notes are circulated promptly to maximise efficiency and follow up of actions.
* Management of emails and correspondence for the MD, timely follow up and flagging important items for the MD to deal with.
* Planning of travel and logistics, e.g., booking commercial flights, hotels, transfers, visas, and preparation of itineraries for the MD, and wider team as required and travelling with the MD.
* Create and circulate agendas, attend meetings and take minutes for the MD, ensuring suitable follow up is actioned ready for reporting at the next meeting
* Control the Management Routines within the business, ensuring all meetings (SLTs, Management & Board meetings, company days and events) are booked at the start of the year.
* Actively manage client relationships, responding on behalf of MD where possible, and communicating with the wider team to ensure they are looked after.
* Provide support to the MD in all aspects of the business and direct reports.

* Flexibility to travel between offices (Stafford, Exeter, Bristol, London)
* A driver’s licence and own car
