Position Summary
Reporting to the Program and Volunteer Services Supervisor, the Meals on Wheels Coordinator oversees the Hot and Frozen Meal delivery programs across Caledon and the Town of Orangeville. The Coordinator ensures that the hot and frozen meal services are implemented in a timely and efficient manner while ensuring outstanding client service and quality program delivery.

Key Responsibilities and Duties
* Conduct client intakes for both the hot and frozen meal delivery programs
* Consult with clients on dietary requirements and food allergies and intolerances
* Enter client information into the client database, update as required
Compile and distribute information packages to new clients
* Consult with current and potential clients on meal additions, cancellations and menu offerings
* Address client questions, concerns and complaints
* Monitor the quality of meals and ensure issues are addressed in a timely manner, share feedback with the kitchen
* Ensure timely distribution of information and resources to clients
* Download meal delivery route sheets and labels, ensure accuracy of information
* Create production schedule for the kitchen for hot meals
* Liaise with the kitchen supervisor regarding dietary restrictions, changes in the production schedule
* Seal and pack hot meals at the Bolton kitchen on meal delivery days
* Maintain a record of the frozen meal clients and prepare a call list for order weeks
* Prepare the frozen order and send it to the supplier
* Develop and coordinate hot and frozen delivery routes and maps, adjust routes as required to maintain balance and efficiency
* Receive and sort frozen meal delivery every second Wednesday at 6:00 am
* Deliver meals when volunteer drivers are not available
* Conduct security checks by phone and follow up as needed to ensure client safety and well-being
* Collect, report and ensure confidentiality of all program statistics, client information and client notes
* Support development and implementation of program evaluations and quality improvement initiatives
Administration
* Maintain statistical data on meal service programs and clients
* Collect data on client complaints related to the meal program and make recommendations for improvements if necessar
* Ensure all MOW program incidents are recorded, investigated and resolved
* Provide bookkeeper with monthly frozen meal order data for billing
* Process month end verifications
Team Collaboration
* Promote a positive and supportive environment that fosters collaboration, respect, and well-being in the workplace
* Attend all relevant team and committee meetings as required
General Duties
* Respond to telephone or in-person inquiries about CMOW services
* Provide appropriate assistance and coverage for co-workers when necessary
* Support cross-departmental collaboration and contribute to agency-wide initiatives
* Complete required training and educational components as required
Accountability
* Provide regular updates to Program and Client Services supervisor on all client or meal issues or concerns
Health and Safety
* Maintain a clean, safe, and organized environment, ensuring that staff, volunteers, and students adhere to safe working practices.
* Work with the Health and Safety Representative to address any health and safety concerns.
Salary Type: per hourSalary: 20.00 - 21.00Job Requirements:
Qualifications
* Post‑secondary diploma or degree in social services, business (or related field) and/or at least two years of relevant experience.
* Good knowledge of MSOffice and database management
* Excellent time management and organizational skills
* Knowledge and understanding of seniors’ issues
* Knowledge of Caledon, Orangeville and surrounding areas
* Ability to handle people and proprietary information with sensitivity, confidentiality and diplomacy
* Satisfactory Vulnerable Sector Check
* Must have a reliable vehicle available to them at all times, willing to travel throughout Caledon, Orangeville and surrounding area

Working Conditions
* Low to Moderate physical activity, including standing for extended periods and lifting supplies up to 20llbs or 9.07 kg.
* Lifting, carrying, bending, pushing
* Prolonged periods of seated desk work, continuous computer use, and frequent telephone communication; sustained attention and proper ergonomic practice are required to prevent strain.
