We’re looking for a vibrant, dynamic and organised Personal Assistant to provide high-level support to our Chief Growth Officer, Group People & Talent Officer and Group Operations Officer. If you’re a magician at multi-tasking, a problem-solving pro, a people person, and you’re happy to work out of our Birmingham (Solihull) office, then this is for you.
As the Personal Assistant, you will play a crucial role in facilitating smooth communication, managing schedules, and handling various administrative tasks within a fast-paced creative environment and you’ll be surrounded by fast-paced creatives, so you’ll have a lot of fun at the same time.
What you’ll do:
* Manage calendars and meeting schedules, actively helping them be aware of and meet deadlines.
* Coordinate travel arrangements, including flights, accommodations, and transportation using our IPG travel system.
* Prepare and edit presentations and reports as needed.
* Arranging meetings, organising hospitality and greeting clients
* Handle confidential information with discretion and maintain strict confidentiality.
* Assist with special projects, events and other ad hoc assignments as required.
* Prioritise and manage incoming communications, including emails.
* Anticipate the needs of all individuals and proactively address them.
* Inputting timesheets on a weekly basis.
* Process expense and mileage claims.
* Collaborate with the Front of House to ensure smooth operations and support company initiatives.
* Foster a deep understanding of the people, personalities, and current affairs of the agency.
* Provide a sounding board for the cultural impact of business decisions.
Personal Skills & Experience:
* Proven experience as a Personal Assistant or similar role, preferably in a fast-paced environment
* Excellent communication and interpersonal skills
* Strong organisational skills and attention to detail
* Open and friendly personality. (You don’t have to crack any jokes, but the ability to laugh at them is essential.)
* Ability to deal with clients and colleagues at all levels.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
* Ability to multitask and prioritize tasks effectively.
* Discretion and trustworthiness when handling confidential information.
* Adaptability and willingness to take on new challenges.
* Previous experience in the advertising or marketing industry is a plus.
