Job Description:
We are recruiting for a Team Leader with excellent customer service and administration skills. The successful candidate will oversee a team of administrators in Inverness and will also be responsible for departmental administration functions across all seven branches. This role requires some travel and occasional overnight stays.
Key Responsibilities:
o Manage the administration function of the department, ensuring servicing tasks are communicated and allocated effectively.
o Maintain a high level of customer service within the administration team.
o Ensure adherence to processes and standards by servicing and administration personnel.
o Review and approve timesheets and holiday requests.
o Conduct performance improvement meetings to address issues proactively.
o Perform staff appraisals in collaboration with the Divisional Hire and Service Manager.
o Ensure departmental compliance with company quality assurance procedures.
o Organise and participate in Saturday service desk rota.
o Oversee comprehensive administrative services across all workshops/hire departments, ensuring consistency in processes and procedures.
o Manage and maintain the warranty process system, ensuring claims are made, payments received, and reconciled.
o Handle routine enquiries from customers, staff, and visitors, providing relevant information or referring complex queries appropriately.
o Maintain and update archive files, both manual and digital.

o Process sales orders and invoices.
o Prepare monthly reports for the Inverness branch and assist with additional reporting as needed.

Skills and Experience:
