Job Specification – Site Administrator Project: £14m Construction Fit-Out Project Location: Guildford (site-based) Start Date: January 2026 - 12 Month Contract Day Rate: £180–£200 per day Contract: Fixed-term, project-based Requirements: Must hold a valid driving licence and have own vehicle Role Overview The Site Administrator will provide comprehensive administrative and document-control support for a major construction fit-out project. Working closely with the Construction Manager and wider project team, the Site Administrator will ensure efficient coordination of documentation, reporting, meetings, and logistical tasks across the project lifecycle. This is a site-based role requiring strong organisational skills, attention to detail, and the ability to work in a fast-paced construction environment. Key Responsibilities Document Control & Systems Management Maintain and update Procure project management platform (training can be provided if required). Maintain, monitor, and update Kahootz system including the BAES sections. Ensure all drawings, issue sheets, and revisions are kept fully up to date, printed, distributed, and appropriately filed. Manage document registers and ensure version control compliance across all teams.Reporting & Coordination Produce and distribute weekly Site Manager (SM) reports. Collate O&M information and test certification, ensuring contractors forward all required documentation to Denaploy. Collate all BREEAM-related information and evidence from subcontractors. Assist the Construction Manager with daily administrative and coordination duties.Meeting Administration Attend and minute the following meetings: Project Team Meetings Client Meetings Contractor Coordination Meetings Daily “Morning Prayers” briefings Issue minutes promptly and track actions to closure.Logistics & Site Support Manage delivery request schedules to ensure site logistics are well coordinated. Arrange and record waste collections in line with project and environmental requirements. Skills & Experience Essential: Previous experience in a construction site administration or document-control role. Strong organisational and communication skills. Competency using digital document management systems (Procure experience beneficial, training available). Ability to manage multiple tasks, meet deadlines, and work independently. Proficient in Microsoft Office (Word, Excel, Outlook). Valid driving licence and access to own vehicle.Desirable: Experience on fit-out or interior refurbishment projects. Familiarity with Kahootz, BREEAM documentation, or O&M manuals. Attributes Detail-oriented and reliable. Proactive approach with a “can-do” attitude. Comfortable working in a site-based environment.
