2-GCTEA/MK Executive Assistant - Client Team Private Equity/Sustainability Permanent Salary £70K - £80K depending on experience, plus discretionary bonus Hybrid - 2 days WFH West End The Client: A dynamic Private Equity firm that focuses on sustainable investing are looking for an Executive Assistant to join their highly skilled and collaborative Client Team. The Role: This role sits in the Client Team and you will provide executive level support to the Co-Head of the Client Team, and a small wider team of investment professionals. Responsibilities include: Travel booking - coordinate all aspects of global travel, itinerary planning and booking for all team members Effective diary management of the team who have international commitments Calendar management - planning/scheduling meetings and travel time /screening for conflicts and arranging associated logistics Management of the team's expense receipts and entering expenses into the Web expenses online expenses system Meeting and event management - effectively planning and efficiently executing meetings, client convenings, internal and external events etc. General admin tasks - filing/photocopying/scanning/binding documents Execution of meeting minutes for external client meetings as well as internal team meetings Updating standard marketing materials on a regular basis, primarily as it relates to the firm's listed equity strategies and coordinating as needed with colleagues Effective Outlook and Salesforce contact database management for the team Tracking admin data e. attendance, business travel, regulatory information (external meetings, training courses, etc.), and contact data Production of presentation materials - requiring excellent Microsoft Office skills to create and adapt presentation materials, including PowerPoint Preparing client briefing notes for meetings ahead of time Assisting with ad-hoc projects. The successful Executive Assistant will have: A minimum of 5 years' experience within financial services. Previous experience of supporting a client / investor relations teams would be beneficial Excellent organisational skills and an ability to prioritise effectively Strong communication skills, both written and verbal Flexible approach to supporting the wider corporate services and reception team Be extremely organized and capable of managing multiple tasks and prioritizing effectively Have strong proficiency in Microsoft Office & ideally knowledge of Salesforce Be able to adapt their working style to who they are supporting.
