Overview

Front of House Assistant. The Vacancy: An exciting opportunity has arisen in our Front of House Team in London on a permanent basis. This is a chance to be part of a small team providing a high quality, professional reception and catering service to clients and staff. Working 2 days per week (Thursday and Friday) in a varied shift pattern 08:00-16:00, 09:00-17:00, or 09:30-17:30 onsite.


Responsibilities

* Be the first point of contact. Meet and greet all Hymans Robertson clients and staff in a professional manner.
* Answer calls politely, quickly and efficiently using Microsoft Teams.
* Ensure contractors and visitors sign in and out using our online visitor management system.
* Maintain the meeting room diaries using Outlook.
* Book and record all taxi bookings.
* Record and handle all incoming and outgoing couriers.
* Prepare tea and coffee and order lunches when required.
* Monitor meeting rooms; setting up and clearing rooms for lunches, meetings and events.
* Ensure kitchen areas are clean and tidy and have sufficient stock.
* Ensure efficient catering service for additional events.
* Manage delivery of goods.
* Manage internal support calls.
* Manage other ad hoc administrative duties such as invoice processing, carrying out internal audits and carbon reporting.
* Generally assist the Facilities Managers on any other ad-hoc duties.
* Ensure all areas of responsibility comply with internal policies.
* Ensure all catering facilities adhere to food hygiene and H&S standards; training provided.
* Inform the Facilities Manager of all contractors who may be onsite.


Requirements

* The ability to communicate at all levels.
* Strong efficiency and punctuality.
* Confident and polite telephone manner.
* A working knowledge of Microsoft Office.
* Previous experience in a customer facing role would be advantageous.
* Excellent communication skills, both verbally and written.
* Exceptional organisation and time management skills.
* Excellent teamwork skills, with the ability to work on own initiative.
* Ability to work independently and collaboratively as a team.
