Job description

Staffline are recruiting for a customer focused Despatch Clerk based in Fivemiletown; to liaise with Customers, Despatch, Sales and Operations personnel to ensure efficient despatch of goods to customers.

Details

Hours Of Work: 8:00am - 5:00pm Monday - Friday

Salary depending on experience

Key Responsibilities:

1. Act as an advocate for company culture and values, demonstrating integrity, sustainability, customer care, wellbeing, and innovation in all work and interactions with colleagues.
2. Maintain professionalism and high standards when dealing with customers, suppliers, and staff.
3. Adhere to all Company Health and Safety policies, wearing the correct PPE while working in the plant and yard, and taking responsibility for personal safety and that of colleagues.
4. Liaise with customers, ensuring a helpful and courteous approach at all times while maintaining professionalism.
5. Handle and escalate customer complaints efficiently to the appropriate manager.
6. Ensure all despatch duties are carried out efficiently, adhering strictly to company procedures.
7. Schedule deliveries to maximise load efficiency and ensure deliveries align with customer schedules.
8. Coordinate customer deliveries with the relevant internal teams, including Sales and Operations.
9. Ensure despatch offices are kept tidy and secure.
10. Carry out all despatch administration duties, including raising purchase order numbers for suppliers, matching and approving invoices, and maintaining accurate records.
11. Monitor the return of Proof of Deliveries (PODs) from subcontractors, ensuring all discrepancies are resolved and documents are filed accordingly.
12. Assist with processing drivers' daily worksheets, monitoring hours, tonnages, and reports for management purposes.
13. Manage fleet maintenance schedules, booking inspections and services, and ensuring transport compliance through internal auditing systems (Engage).
14. Ensure adherence to despatch processes and assist in implementing new procedures.
15. Liaise with Finance and Accounts departments to resolve invoice and POD queries.
16. Work closely with Production and Supply Chain to control the movement of finished goods, stock transfers, and ensuring smooth operations across sites.
17. Ensure load checks are completed, including photographing loads prior to despatch through AX ERP.
18. Monitor and report on driver wage discrepancies by checking Pay by Load (PBL) systems and PODs.
19. Proactively seek service improvement opportunities and highlight potential areas for development within Despatch.
20. Assist management with complaint resolution and any other duties as required.
21. Provide cover as a Despatch Clerk for other sites when required.
22. Liaise with external hauliers regarding delivery bookings and handle any related issues.
23. Assist with general filing, controlling PODs, transfer notes, pick lists, returns, banking and ensuring documentation accuracy.
24. Interact with staff and management in a professional and pleasant manner, contributing positively to the team environment.
25. Any other duties as required by management that are within your capability.

Who We're Looking For:

Essential Skills & Experience:

26. At least 5 GCSE's or equivalent grades A-C, including maths and English;
27. Previous administration experience in an office environment;
28. Proficient in MS Office with a good working knowledge of MS Excel and Word
29. Valid driving licence
30. Strong attention to detail and organisational skills
31. Excellent communication and interpersonal skills
32. Ability to manage multiple tasks and meet deadlines
33. Proactive, with problem-solving abilities and a focus on continuous improvement
34. Knowledge of Health and Safety regulations

Desirable

GB Logistics Planning experience

Good geographical knowledge of GB

Experience in use of fleet management system

ERP/CRM system experience
