Foran informal discussion about the role please contact Maria Fiorillo on 01723375343 or email maria.fiorillo1@nhs.net</p><h3>Main duties of the job</h3><p>The main purpose of the Coder & Recall administrator isto be responsible for the daily administration of clinical correspondence,medical notes summarising and clinical coding and other relevant informationinto patients electronic health records. In addition, you will manage patientrecall processes, ensuring patients are invited and tracked for chronic diseasereviews, blood tests, and other required monitoring.</p><p>The successful candidate will ideally have experience in NHSor General Practice administration, clinical coding and medical notessummarising. You will be required to work across both Danes Dyke Surgery andSouth Cliff Surgeries, so ideally you will have your own transport.</p><h3>About us</h3><p>Scarborough Medical Group is a successful and highlyrespected training practice located in the beautiful coastal town ofScarborough on the North Yorkshire coast. With two surgeries servingcommunities in both the north and south of the town, our teams support over16,600 patients. We are proud to be part of a strong and collaborative PrimaryCare Network and enjoy positive, well-established working relationships withcolleagues across local practices.</p><h3>Job responsibilities</h3><p>The following list of duties should not be regarded asdefinitive as they may be reviewed from time to time to take account ofchanging circumstances.</p><p>Review all incoming correspondence and enter,using recognised codes, pertinent information into the patients electronicmedical record in accordance with the coding protocol.</p><p>Accurate and timely coding of patientinformation gathered from paper and electronic medical records, as well ascorrespondence received from other healthcare providers.</p><p>Follow up actions from correspondence based oninternal processes and protocols that will ensure that patients receive themost appropriate services and continuity of care.</p><p>Working closely with internal clinical andadministrative staff to ensure optimal levels of patient care and timely followup actions.</p><p>Process and scan inbound clinical correspondenceinto patients electronic medical record in accordance with the scanningprotocol.</p><p>Organise the medical record of patients whom youare coding, to harmonise problem titles, group symptom development and assignthe appropriate status to medical information.</p><p>Recognise own knowledge limits and seek advicefrom clinical or administrative colleagues as appropriate.</p><p>Process and summarise new incoming medical notes inaccordance with the summarising protocol.</p><p>Culling and sorting of patient records andletters in preparation for summarising</p><p>Reviewing medical records and producing anaccurate summary of the patients medical history</p><p>To interpret reports from hospitals to ensureaccuracy of the coding process.</p><p>Deal with any queries relating to clinicalcoding.</p><p>Monitoring progress of notes summarising againstPractice targets.</p><p>Monitoringprogress of notes summarising against Practice targets.</p><p>Manage and maintain recall systems</p><p>Identify patients due or overdue for bloods tests,injections, screening and monitoring</p><p>Send recall invitations via SMS, letter ortelephone</p><p>Follow up non-responders in line with practiceprotocols</p><p>Filing and retrieving paperwork.</p><p>File and store records as required.</p><p>Photocopy and scan documentation as required.</p><p>Action all incoming emails and mail in a timelymanner.</p><p>Scanning of patient related documentation andattaching scanned documents to patients healthcare records.</p><p>Input data into the patients healthcare recordsas necessary.</p><p>Maintain a clean, tidy, effective working areaat all times</p><p>Please see the attached job description and personspecification for further details.</p><h3>Person Specification</h3><h3>Qualifications</h3><ul><li>O GCSE Level English or equivalent</li><li>Good working knowledge of Windows and Microsoft Office applications</li><li>Excellent keyboard skills</li><li>Customer Service Qualification</li><li>ECDL Qualification</li></ul><h3>Skills and Qualities</h3><ul><li>Proficient IT skills with knowledge of Microsoft Office applications</li><li>Ability to accurately analyse and extract relevant information and pay attention to details</li><li>Ability to absorb complex training and knowledge</li><li>Ability to work under pressure</li><li>Ability to prioritise workload</li><li>Ability to communicate clearly and precisely</li><li>Able to work in a team</li><li>Able to work under own initiative</li><li>A mature approach and a professional and friendly demeanour</li><li>Commitment to ongoing development</li><li>Motivated and enthusiastic</li><li>Knowledge of SystmOne clinical system</li><li>Familiarity with medical terminology</li></ul><h3>Experience</h3><ul><li>Experience of working as an administrator, coder, summariser, or medical secretary in the NHS or GP surgery environment.</li><li>Recent and consistent experience in a post requiring accuracy and attention to detail.</li></ul>
