Job Summary

Reporting to the Vice President of Human Resources, the Executive Office Administrative Assistant provides high-level administrative support to the COO and other executives including the VP of HR, VP of Finance, and VP of Legal. Support may also extend to Werfen’s corporate executives such as the President and CEO.

Responsibilities

Key Accountabilities

* Support to COO, VPs of HR, Finance, and Legal
* Support to other corporate executives, including President, CEO, and CFO
* Assist with writing, editing emails, drafting memos, and preparing communications
* Maintain accurate corporate records, documents, and reports
* Answer calls and route or provide information to callers
* Manage calendars, appointments, and prioritize sensitive matters
* Coordinate domestic and international travel arrangements
* Prepare mail and packages
* Manage legal document requests, notarize documents as needed
* Create purchase orders and process invoices via SAP
* Assist with HR initiatives like organizing events, managing donations, scholarships, etc.
* Support other special projects as needed

Networking/Key relationships

* Collaborate with HR, Legal, and Finance departments
* Coordinate with other administrative assistants

Qualifications

Minimum Knowledge & Experience:

* 10+ years in a corporate environment
* Experience working with executive staff, maintaining discretion and confidentiality
* Ability to multitask, work independently, and manage complex tasks

Management may substitute relevant work experience for a degree or make exceptions to experience requirements.

Skills & Capabilities:

* Excellent written and verbal communication skills
* Proficiency in Microsoft Office and Teams
* Strong project management and attention to detail
* Approachable and able to interact at all levels
* Minimal travel, with occasional attendance at offsite events
