As a Team Operations Secretary, you will play a crucial role in ensuring the smooth and efficient operation of the team. Your responsibilities will encompass a wide range of administrative and organisational tasks, focusing on supporting the team and enhancing overall productivity.

Working collaboratively with all team members, you will deliver exceptional support and be adaptable to handle various tasks simultaneously.

You will play a pivotal role in supporting the team to achieve monthly, quarterly, and annual targets, contributing to the overall success of the business.

Key Responsibilities:

1. Calendar Management: Support and manage Directors' calendars, including scheduling and prioritising meetings, appointments, and events to ensure efficient use of time.
2. Communication Management: Support Directors in managing email and phone communications, prioritising enquiries, and handling general communication.
3. Strategic Communication Management: Assist the Managing Director with strategic communications, including internal and external client communication and messaging.
4. Documentation: Assist in preparing presentations, marketing collateral, brochures, and general documentation.
5. Meeting and Event Coordination: Schedule, coordinate, and prepare for team meetings, conferences, and events.
6. Client and Stakeholder Relations: Support Directors with client management, prospecting, and stakeholder engagement, representing the business professionally.
7. Financial Management: Support the Managing Director with financial planning and management.
8. Team Meetings: Actively participate in team meetings, ensuring their effective running and contribution.
9. Systems and Processes: Support the Managing Director in maintaining internal databases, IT platforms, filing systems, and third-party databases, proposing improvements as needed.
10. Project Management: Assist Directors in managing specific projects, ensuring timely completion and coordinating teams.
11. Research and Information Gathering: Conduct research, collect information, and prepare reports or summaries as requested.
